Position Summary

The Concert Manager is responsible for the overall advance and day-of logistical and hospitality needs between venue and artist, and serves as City Winery's brand ambassador throughout the artist team's experience. The position facilitates a healthy chain of communication through a proper and timely advance process; collaborates with operations to create efficient execution means for all shows, and sets the team up for success by ensuring timely communication on all event details. The Concert Manager will handle all concert-related internal needs including: contract markup and review, deposits, night of settlement sheets; and handles internal and external reporting in a timely and detailed oriented manner.


Minimum Qualifications

•      Minimum 2 years in the entertainment industry, preferably with hospitality background.

•      Excellent organizational, communication, interpersonal and planning skills are necessary.

•      Quick problem-solving capabilities in high-energy settings.

•      Ability to management multiple projects and deadlines simultaneously.

•      Must be self-reliant and able to meet tight deadlines.

•      Experience with event logistics and management.

•      Proficiency with Google Suite, Microsoft Word and Excel.

•      Ability to perform physical requirements of position including standing for extended periods of time, kneeling, stooping, using stairs, able to lift loads of up to 50 lbs. Able to work rapidly, especially during peak periods to ensure that all guests are being serviced properly and necessary operational tasks are being completed in a timely manner.

•      Ability to work a flexible schedule including days, nights, weekends and holidays.


Overview of Responsibilities

•      Manage and execute all post- booking administrative and preparation work relating to the concerts, under direction from the Programming Director.

•      Markup, review and execute all artist contracts in a timely and efficient manner.

•      Manage all coordination and execution of deposit, advance, settlement logistics for all concerts.

•      Serve as artists’ main point of contact on the day of a show.

•      Coordinate all hospitality needs prior to and during an artists’ stay; arrange special requests in timely manner before the artists’ arrival.

•      Coordinate with operational personnel any artists’ needs related to their fans including merchandising, guest lists, and arranged meet and greets.

•      Handle all artists’ details including settlements at the end of each show with accuracy, discretion, and confidentiality.

•      Be onsite for artist and management greetings upon arrival and introduce key management members to the production and programming departments, and operational management working that evening, including the night concierge and floor management.

•      Collaborate with the Tour Managers and Programming Director on any details of a meet and greet and arrange these details with the concierge, floor manager, sound engineer and any other pertinent personnel.

•      Ensure that all details in the artist settlement are accurate and follow through on payment and accounting processes night of show.

•      Assist Programming Director with qualifying and booking programs for the venue spaces.

•      Ensure concert venue is fully prepared and organized for daily execution of the operation.

•      Ensure maintenance of concert venue by examining areas daily for cleanliness and maintenance needs and directed to appropriate employees to handle.

•      Assist with staff trainings both in daily pre-shifts and monthly FOH staff service meetings.

•      Demonstrate an ability to lead and motivate others and achieve results. Empowered to make day-to-day decisions confidently both with guests, service teams and other departmental management.

•      Maintain external and internal concert reporting including end of month reporting and third-party reporting (Pollstar) & Ticket Counts.

•      Maintain all related document management including ticket reporting, financial tracking, advance logistics, communication with programming, accounting and other internal teams.

•      Collaborate with internal and external teams to ensure a smooth concert experience.

•      Properly communicate concert and artist needs with all departments in the weekly management and BEO meetings.

•      Submit a personal monthly schedule in conjunction with the Concert Coordinator’s schedule to the Programming Director for approval.

•      Train and support part-time Concert Coordinator.

•      Other duties, tasks, projects as per business need
