Description
PURPOSE OF POSITION: To assist the Food & Beverage team by screening and coordinating prospective soirees. Will engage in initial discussions with the guest to determine the soiree needs, develop contracts and Banquet Event Orders, to pass off to the F&B team to execute.

REPORTS TO: Director of Food and Beverage and General Manager

ESSENTIAL FUNCTIONS:

• Communicate via email, and phone, with clients about soirees and offer suggestions and information regarding physical space to ensure their requests can be met
• Gather detailed and essential information regarding the soiree request to present to management for approval – approval is dependent on the budget provided as well as the culture of the soiree
• Screen soiree requests to ensure the request falls within the hotel capabilities and inline with hotel policy
• Negotiate the type and costs of services to be provided, inline with the guests’ budget
• Discuss the physical venue, specific needs, and communicate and coordinate with management special requests
• Consult with management to ensure adequate staffing for the type of soiree, including consideration of housemen set-up needs
• Identify special requirements: rentals, additional labor, flower arrangements, cake cutting, etc. and communicate and coordinate with management
• Coordinate with the guest a program timeline and communicate to management
• Find solutions to any problems that arise and communicate these problems to management
• Advise management on matters requiring their attention and implement their decisions
• Follow-up with clients to arrange payment and, after the event, to evaluate the service provided

JOB REQUIREMENTS:

Education and/or Experience--
• Prior experience required. Depending on the role degree may be required.

Language Skills—
• Ability to read, write, and verbally communicates effectively and professionally with other departments, guests, and vendors in English.
• Knowledge of other languages is a plus.
• Ability to diplomatically deal with difficult situations and people, while exhibiting a consistent level of professionalism.

Physical Ability—
• While performing the duties of this job, the employee is regularly required to bend, push, pull, stand, walk, and talk or hear.
• The employee frequently is required to use hands to finger, handle, or feel objects, or telephone.
• The employee must regularly lift and/or move up to 10-25 pounds.

Other—
• Must be able to work weekends/holidays, when needed.
• Ability to communicate efficiently and effectively.
• Ability to prioritize and problem solve effectively.
• Ability to think and perform both independently and as a team.
• Ability to develop positive working relationships with both guests and staff.
• Ability to negotiate, delegate and work under pressure.
• Comfortable working with computers.
• Organized and detail-oriented.
• Strong presentation skills.
