Job Overview

 You will offer ongoing assistance to the restaurant teams and work collaboratively with the Director of Operations to ensure there is ongoing support in the day to day to running of the restaurant.  You will need to take a positive and solution focused approach to all tasks and be able to work from your own initiative.

Key Responsibilities

·       Take ownership for all tasks, duties and responsibilities assigned to you, ensuring they are successfully completed, in a timely manner, to the required standard.

·       Answer and manage all incoming inquiries. Handle all requests and collaborate, if necessary, on resolution. Deliver messages accordingly and in a timely manner

·       Manage, organize, and maintain daily and weekly calendars to maximize efficiency, HOD & FOH UPPER MANAGEMENT MEETINGS

·       Weekly scheduling of Office employees.

·       Maintain all documents and files in paper and electronic form

·       File, retrieve and organize documents and reference materials in paper and electronic form.

·       Prepare invoices, reports, spreadsheets, memos, letters, financial statements, and other documents using MS Office 

·       Open, sort, and distribute incoming correspondence, including notices and email 

·       Complete expense reports, corporate and personal, for Executive Office executives

·       Receive and maintain expense report process between all managers and finance department.

·       Review operating practices and implement improvements where necessary. 

·       Attend meetings as assigned and assign agenda and document minutes for each meeting specified

·       In the Chef/ Director’s absence ensures that requests for action or information are relayed to the appropriate staff member; as needed, interprets requests, and helps implement action; makes sure that information is furnished in a timely manner.

·       Proficient computer skills and in-depth knowledge of relevant software such as MS Office

·       Employees parking payment and management. – SP Parking

·       Purchase and organization of catering for trainings, meetings.

·       Procurement and organization of locations for any activities outside the restaurant such as training, career fairs.

·       Support and organization of logistics for Marketing related events such as South Beach Food and Wine Festival.  

·       Organization of staff activities, such as volunteering activities, luncheons, cocktail receptions.

·       Management and payment of utilities for head office, storage units, uniforms room.

·       Cash handling, change orders, in charge of Garda bi-weekly pick-ups

·       Management of licenses, renewals.

·       Management of GoCanvas platform to create checklists and forms for FOH and BOH

·       Re-print of itemized receipts to be sent to guests when requested.

·       Management of Charge Back Disputes, presenting all required documents before due date to the bank, reservation info, signed credit card slip, itemized receipt.

·       Proficient computer skills and in-depth knowledge of relevant software such as MS Office

·       Organization of rentals, as needed, glassware, furniture, trucks, payment and return of items in optimal conditions.

·       Cash Drop and maintain log for finance

·       Management of invoices with Paperchase – for all vendors related to entertainment, programming, models, laundry, utilities.

·       Management of donations – gift certificate log

Procurement - Purchasing

·       Arrangement of amenities for VIP guests include special IRD amenity and personalized amenity note from Executive.

·       Create purchase orders and requisitions of all purchases as assigned.

·       Procurement for FOH (reception, bar, dining room), BOH and Uniforms department, purchasing and management of deliveries, shipping, returns if applicable.

·       Procurement and Purchasing for Uniforms and Green Room needs, uniforms vendors, attending meetings.

·       Purchasing of branded items, pens, guest towels, mints, procurement of options and pricing.

Property and Maintenance Management

·       Management of apartments (4), scheduling cleaning and maintenance as required. Procurement and purchase of different items needed for company apartments.

·       Coordination of laundry services for London Support team when needed.

·       Organization of Head Office, purchasing of office supplies, maintenance of furniture, property.

·       Supervision of cleaning needs for head office.

·       Purchase and organization of catering for trainings, meetings.

·       Management and payment of utilities for head office, storage units, uniforms room, apartments

·       Coordinate travel arrangements and hotel accommodations for Executive team members, London support, and DJ’s.

IT

·       Management of IT needs for all departments, new emails, set-up of accounts and requisition and set-up of new hardware.

·       Management of all IT tickets related to company laptops/computers/user issues.

·       Management of birthday calendar.

·       Management of conference room calendar

·       Home of training and management of employees’ certificates, responsible vendor, food handler and harassment courses.

 

Leadership

  • Attend Managers, department, restaurant, and Company meetings as required.
  • Assist Operations Director in different tasks such as creation of documents, management of meeting schedules.
  • Be proactive in solving problems.
  • Strive to improve the operation with new ideas and to implement advice and suggestions immediately.
  • Act as a role model to all new employees, by showing a positive approach to teamwork through excellent team support and communication.
