RESPONSIBILITIES:
Answer Event Department phone lines and filter incoming leads
Review all voice messages and enter into Triple Seat; call back clients to gain full contact / event details
Input all leads into TripleSeat ie. Location hold, client contact information, etc.
Create event inquiries and contracts, following the department parameters
Create and modify BEO’s according to guest needs, as per contract and email correspondence.
Prepare, distribute and revise BEO packet as needed, sending email updates as needed
Daily correspondence to include, but not limited to, memos, emails, phone etiquette.
Coordination of direct mailing projects, client gifting, special orders, marketing collateral, etc.
Maintain client files and update contact lists
Office administrative duties to include filing, copies, faxes, emails, scanning, answering calls, checking messages, distribution of materials, etc.
Create personalized menus, food labels, signage, table number place cards, etc.
Assist in updating and editing event menus in TripleSeat
Assist with competitive research of menus, vendors and venues when asked
Charge Event Deposits via TripleSeat for all contracts; Maintain Deposit Received and Refund Log
Perform other duties and requested by manager.
QUALIFICATIONS/PRIMARY JOB REQUIREMENTS
Previous experience of at least one year in Special Events or Office Administration required
Administrative skills such as telephone etiquette, letter compositions, appointment scheduling, filing
Be able to communicate and understand the predominant language(s) of customers and staff.
Be able to multi task and work well under pressure and in a fast-paced environment
Enthusiastic, organized, responsible and willingness to learn
Pleasant demeanor and phone voice presence
Ability to type 50 words per minute, ten-key calculator by touch, and proficient in Microsoft Word, Excel and Outlook
Knowledge of TripleSeat a plus
