Description
Job Title: PAYROLL OFFICER
Reports to HR Manager
Direct Reports None
Location Head Office
Duration Initial 3 month contract

SUMMARY
The Payroll Officer is responsible for all aspects of running payroll and managing the payroll/HR database system for the company. Supervise Fourth services with regards to payroll processing and the system support.

WHAT I NEED TO DO

GENERAL PAYROLL
• Ensure 100% of payroll accuracy by conducting relevant checks on fortnightly payroll figures to prevent under & overpayments.
• Review the payroll for reasonableness before getting authorization for the bureau to make payment
• Complete the Monday payroll process including checking sites have closed rotas.as well and supporting the Restaurants to ensure the accuracy of rotas.
• Check and close tronc funds for all sites on weekly basis
• Ensure multi-employment and transfers are processed through the system correctly.
• Answer all queries regarding pay calculations, hours, labour cost and revenue figures to ensure the correct payments are been processed.
• Resolve pay processing issues/errors involving Fourth if necessary (this can include a roll back of rotas)
• Deal with advances, back payments and deductions in compliance with the company’s procedures.
• Conduct weekly checks to ensure employees are set up correctly on Fourth system
• Monitor final payments for leavers are accurate in respect of holiday and notice periods.
• Monitor up-take of holidays reporting on holidays taken over accrual, and days outstanding at the end of holiday year.
• Chase employees to recover pay or holiday overpayments.
• Process and administer child care vouchers, cycle to work scheme and any other salary sacrifice benefits.
• Complete P11D submission and administration and to complete PSA (PAYE settlement agreement)
• Manange the enrolment of employees in the pension scheme and ensuring contributions are accurately paid each fortnight.
• Process the payroll journals to the financial systems, accruing salary, holiday and bonus amounts as required and ensuring that all balance reconciliations are performed monthly.
• Monitoring Attachment of Earning payments and performing the monthly reconciliation
• Supervise processing of Irish payroll by liaising with BLG our Irish accountant and performing final payroll checks on the weekly and monthly payroll as well as ensuring BLG are kept informed of role changes/salary changes and bonuses to be paid

NATIONAL MINIMUM WAGE
• Control on changes done by Managers. 1st April run a report to check the correct changes.
• Amend system on minimum starting salary.

STATUTORY PAYMENTS AND RECORDS - MATERNITY/ PATERNITY AND SICKNESS
• Track and check that statutory payments (SSP, SMP, SPP, etc) are correct and pass to specialists at Fourth Payroll Bureau for processing.

FOURTH SYSTEM ADMINISTRATION (Full administration of the Fourth System)
• Control of the matrix cost for Restaurants to ensure the cost is allocated on the right rota and division.

COMPLIANCE
• Conduct regular audits on the system to ensure compliance with Company’s procedures and legislation such as monitor working hours, breaks policy, young workers regulations, holidays entitlement.
• Process court orders control ensuring the correspondent deductions are made.
• Conduct regular checks to ensure that all employees have National Insurance Numbers.

REPORTING
• Produce reports as required by the business (such as turnover figures, absences, holidays overtaken etc).
• Complete Monthly and annual National Statistics Office surveys (head count, demographic, new locations)

OTHER
• Deal with expenses set up requests, co-ordinating payments coordination and providing guidance on Expense Policy.

HOW I WILL SUCCEED

You will need experience of:
• Dealing with hourly and salaried payrolls in a similar role in a multi-site business in hospitality
• Fourth HR & Payroll system
• Pension auto-enrollment
• Some experience of working with financial systems, posting journals, performing reconciliations etc
• Working with Fourth is not vital but would be a strong advantage
You also need:
• Excellent attention to detail
• Excellent Excel skills
• Strong analytical skills and the ability to manipulate large volumes of data
• Ability to communicate clearly and effectively with all internal/ external stakeholders in both verbal and written forms
• Positive & proactive approach
• Ability to deliver to tight deadlines
