Executive Assistant Job Description
The h.wood Group is looking for a new Executive Assistant to support our executive team. The executive assistant will manage mostly business related tasks for the co-founder and co-president such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. The position is to provide administrative and personal support to a senior investment team member, and to work on firm events and projects. Attention to detail and problem- solving skills, as well as excellent written and verbal communication skills, are requirements. The individual must have unquestionable integrity, be an effective team player, and be dedicated and motivated. The successful candidate must have the ability to work well under pressure; and have the confidence to make informed decisions independently.

Executive Assistant Responsibilities:
• Proactively manage the calendar with accuracy and attention to detail. Schedule all meetings and conference calls
• Anticipate and resolve any potential scheduling conflicts with an appropriate sense of urgency and professionalism
• Screen calls and act as gatekeeper for both internal and external contacts
• Run daily research extraction process and provide requested research materials as needed
• Ensure that all materials are accurate, professional, timely
• Serve as liaison between to outside contacts including assorted boards, sell-side brokers and investors
• Coordinate private, domestic and international travel arrangements. Provide detailed itineraries, compile necessary travel documentation and anticipate all travel needs
• Track and manage expenses and submit monthly Concur reports
• General administrative responsibilities, including filing, scanning, copying, etc.
• Preparing financial statements, reports, memos, invoice letters, and other documents
• Filing and retrieving corporate records, documents, and reports
• Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives
• Accurately recording notes from meetings
• Reading and analyzing incoming memos, submissions, and distributing them as needed
• Maintain an organized filing system of paper and electronic documents
• Uphold a strict level of confidentiality
• Develop and sustain a level of professionalism among staff and clientele
Executive Assistant Requirements
• A proactive approach to problem-solving with strong-decision making skills
• Minimum of 2+ years of experiences as an Executive Assistant reporting directly to your senior management
• Proven ability to handle the details of highly confidential and critical tasks and projects with discretion and ease
• Experience in coordinating and executive corporate events
• Proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint)
• Strong communication skills, organizational skills and attention to detail
• Ability to prioritize multiple tasks in a dynamic, deadline-driven environment
