Description
JOB SUMMARY

The Real Estate Associate is responsible for keeping an updated and organized database of Real Estate and financial information for entire North America.

Working alongside with the Real Estate Officers, s/he maintains all stores’ database ( trade area and site reports, lease terms and entire Real Estate properties and information and preliminary coordination with stores, landlords , brokers and store development team for store related items concerns and requests.

S/He is responsible for tracking, recording and disseminating information about the status, details, requirements of all projects not limited to Site Package Report, Lease Agreement, Lease Database,  Real Estate project status, Payment processes and all other administrative functions for the department.

ESSENTIAL FUNCTIONS

SPECIFIC KEY RESULT AREA (KRA):

 Key Result Area 1: Project Recording

  • Maintain a database for all existing stores (site and lease information) and upcoming projects ( New Site Report and all other documents related to the report)
  • Electronic e-filing and documentation management.

Key Result Area 2: Project Tracking

  • Create & Maintain Real Estate Project Monitoring Template using Excel.
  • Coordinate with Real Estate Officer/Broker/Legal/Landlords/Department/Service Provider/JFC or JWS Philippines for follow -up and for any related update information of the projects of the Team.
Key Result Area 3: Department Administrative Lead

  • Provide concierge level customer service to stores and landlords in handling inquiries and complaints on property/store including written correspondence.
  • Set-up coordination of team with different parties, may it be internal and external.
  • Prepare Lease Agreement and supporting reports for the management’s signature.
  • Process, records, monitor payments & status of all projects/lease including store set-up.
  • Monitor Lease Expiry and Escalation of existing stores. 

Others

  • Perform other job/task or Real Estate expertise related assignments in order to develop one’s self and/or share one’s expertise resulting to support work efficiencies & productivity.
  • Handle confidently and skillfully all internal and external communications with all diverse ethnicities, cultures, races.
  • Takes initiative and effectively handle significant autonomy.
  • Attend/participate in meetings, company events and benchmarking or networking opportunities as needed. 
JOB SPECIFICATIONS
Education 
Preferably Bachelor's degree in Business Management, Economics,  or any equivalent related course or at least Associates degree in the same.    

Experience
At least 1year experience in Real Estate administrative functions and exposure; with proficiency in using Microsoft Excel and proficiencies in other MS applications or equivalent combination of education & experience.

  • Perform administrative duties as necessary i.e.  making copies, filing, expenses reimbursement, etc.
  • Prepare department plans, objectives, goals, strategies and measures; performance goals and standards.
Other Qualifications 
  • Computer Literacy:  Must be at least proficient if not achieved mastery in the essential MS Applications (MS Word, Excel, PowerPoint).   
  • Physical Effort/Requirements:  While performing the duties of this job, the employee will:
    • At least 50% of time will be in the field for travel connected to research, site sourcing, and meetings with business partners.
    • Walk a trade area for at least 2 miles if necessary as an essential necessity of determining pedestrian behavior around a site.
    • Drive in different cities, states or provinces within North America.
    • Lift, reach, pull, push, grasp and use hands occasionally.
    • Bend and/or squat down occasionally.
    • Climb, stoop and/or kneel rarely.
    • Heavy tasks may require lifting and carrying items weighing up to 25 pounds.
    • Need to see well enough to read/compose email, reports and use the computer and be proactive to internal and external customers’ needs.
    • Need to speak and hear well enough to receive instructions and communicate with direct reports, employees, vendors and clients.
  • Work Environment:  Work is performed indoors and outdoors in various reasonable weather conditions and varied climates.
