Head Concierge


Description

Purpose:  The purpose of the Head Concierge is to ensure the smooth operation of the Concierge team at Yellowstone Club.  A Concierge at Yellowstone Club takes on duties that encompass more than that at a traditional hotel. Concierge is responsible for guest tracking and management, dining reservations, event registrations and check-in, and transportation and rental car booking.

Supervisory Responsibilities  

Directly or indirectly supervises employees and supervisors/assistant managers; carries out supervisory responsibilities in accordance with the Club’s policies, procedures, and applicable laws; responsibilities include but are not limited to:  interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems; and assisting in software/program development.

  • Manage all facets of Member and guest tracking in relation to staff and software.
  • Manage all active JotForms (Member facing and employee-facing) and Smartsheets for the Concierge team.
  • Maintains Member/guest history system with Member/guest preferences.
  • Assist with the continued development and implementation of the Yellowstone Club software system in its relation to Members and guests as well as website activity.
  • Coordinate with the Senior Concierge Manager to maintain the functionality of software systems.
  • Creates relationships with local vendors providing services outside of those offered by Yellowstone Club.
  • Leads the Concierge team on the processes and procedures for event registrations, dining reservations, transportations, rental cars, etc.
  • Spearheads the information collection for the bi-annual Member Roster
  • Organizes, manages, and maintains the Concierge front of house and back of house areas.
  • Monitors inventory of supplies and materials related to the Concierge job.
  • Communicates effectively to the Senior Concierge Manager about needs and issues that arise within the Concierge staff.
  • Creates and maintains ongoing training programs to develop a strong staff.
  • Updates Concierge Handbook and Concierge Manual on a routine basis.
  • Maintain Concierge related documents/resources/draft emails with the most updated information.
  • Hire, train, evaluate, and offer progressive coaching to all staff for the Concierge team.
  • Maintaining a professional appearance and has an eager and flexible attitude.
  • Competent interpersonal relationship skills, etiquette, and protocol.
  • Generates schedules, checklists, and daily to-do lists for staff.
  • Maintains existing procedures to ensure that information is passed along to team members in a timely fashion.

  • Communicate regularly and effectively with all employees and managers.
  • Must be able to work flexible work hours/schedule including evenings, weekends, and holidays.  Long hours may be required due to business demands.

    • Maintain a favorable working relationship with all Yellowstone Club team members to foster and promote a positive working environment.

    Experience/Education Required:

    • Bachelor’s Degree from a four-year college or university or five or more years’ related experience and/or training, or equivalent combination of education and experience. 
    • Must have prior managerial experience in two or more positions/locations.

     

    Experience/Education Preferred:

    • Bachelor’s Degree in Hospitality or related field with 4 plus years of managerial experience within the hospitality or customer service-related industry.
    • Strong understanding of development processes, sprints, stories, timelines, etc.

     

    Certificates & Licenses:

    • Valid Driver’s License
    • Notary Public for the State of Montana (certification provided by Yellowstone Club if not already licensed)


    Computer Skills:

    • Competence in Microsoft Office, especially Word, Excel, and Outlook required.
    • Advanced keyboarding and phone skills.
    • Experience with TEAMs, Smartsheet, TCP, Total E Integrated, JotForm and Concur.

     

    Language Ability:

    • Able to speak clearly and effectively with Members, guests, co-workers, vendors and other Yellowstone Club departments. 
    • Ability to write clearly and legibly.
    • Strong written and verbal communication skills.


    Math Ability:

    • Able to perform basic math calculations.

     

    Reasoning Ability:

    • Technology-related problem solving is a must. Ability to test and resolve issues without involving development.
    • Ability to solve basic problems and/or know when it is necessary to get a manager to assist in problem-solving.
