Description

We are recruiting for a Part Time 20-25 hours per week Food and Beverage Administrator to provide effective administrative support to the Food and Beverage departments. The role supports operational compliance, cost control and communication across the kitchen and service teams, in line with Marriott brand standards and hotel objectives.

POSITION SUMMARY

Administrative & Operational Support

·       Provide ongoing administrative support to the Head Chef, Sous Chef and Banqueting Manager

·       Maintain and manage departmental documentation including rotas, SOPs, menus, allergen matrices, training records, and compliance files

·       Prepare and distribute reports, spreadsheets, and summaries relating to payroll, staffing, stock, and operational performance

·       Coordinate departmental meetings, record minutes where required, and track agreed actions

Stock, Purchasing & Cost Control

·       Raise and track purchase orders in line with approved suppliers and budgets

·       Process invoices accurately and in a timely manner, resolving discrepancies where necessary

·       Maintain records of deliveries, stock levels, transfers, and wastage

·       Support monthly stock takes and contribute to cost control and budget monitoring

HR & Team Administration

·       Maintain accurate employee records for the kitchen department, including training and compliance documentation

·       Support rota administration and payroll submissions, ensuring accuracy and adherence to deadlines

·       Monitor expiry dates for mandatory certifications and notify management of renewals required

Compliance & Brand Standards

·       Support compliance with food safety, health & safety, licensing, and brand standards

·       Ensure all departmental documentation is kept up to date, audit-ready, and stored correctly

·       Assist with internal audits, Marriott audits, and external inspections as required

Communication & Coordination

·       Act as a central point of contact for administrative matters within the kitchen department

·       Facilitate clear communication between kitchen, restaurant, events, finance, and other hotel departments

·       Support menu updates, promotions, and event administration in coordination with operational teams

Professional Conduct

·       Maintain confidentiality at all times when handling sensitive or commercial information

·       Work in accordance with Marriott policies, procedures, and brand standards

·       Demonstrate a proactive and flexible approach to supporting departmental needs

Other

·       Performs other related tasks as assigned by management.
