Events Producer

Situated in Downtown’s Second Street District, Austin Proper Hotel & Residences is the newest luxury lifestyle hotel in Austin, just steps from Lady Bird Lake, the legendary Austin City Limits music venue and nearby boutiques. With inspiring interiors by Kelly Wearstler and culinary offerings in collaboration with MML Hospitality, Austin Proper offers 238 rooms and suites, a dedicated spa and fitness center, and 9,500 square feet of meeting and event spaces, including a rooftop pool deck offering small-batch tequilas and majestic lake views. Anything less just wouldn’t be Proper.

Job Overview
The Events Producer is responsible for the daily operations of the Event and Conference Services department, and ensures the success of meetings and events, serving as the liaison between the hotel operating departments and the client while striving to maximize both service and profitability.

Duties/Responsibilities

  • Build and foster relationships with clients by creating and coordinating meetings and events
  • Generate detailed group resumes and communicate with Hotel Department Heads
  • Assist in the development and implementation of effective marketing plans for generating catering revenues
  • Optimize room rental charges and event upsell opportunities
  • Handle special projects as requested by the Assistant Director of Events and Director of Sales & Marketing
  • Ensure that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy
  • Greet customer during the event phase and hands-off to the Event Operations team for the execution of details
  • Ensure billing accuracy and conducts bill reviews with the clients prior to processing the final bill
  • Manage group room blocks and meeting space for groups and events
  • Identify operational challenges associated with his/her group and determines how to best work with the property staff and customer to solve these challenges and/or develop alternative solutions
  • Participate in customer site inspections and assists with the sales process as necessary
  • Lead formal pre-event and post-event meetings for small to average-sized assigned groups
  • Facilitate Banquet Event Order and Resume Meetings

Education & Qualifications

  • Bachelor’s Degree required
  • Working knowledge of Delphi and HMS is preferred
  • 2 – 3 years of hospitality experience with Sales, Banquets & Catering

Required Skills

  • Computer literate with Microsoft Office / Excel / Power Point
  • Convey a high level of understanding of the importance of attending to detail
  • Ability to problem solve / to work under pressure.
  • Ability to handle challenging situations with guests diplomatically
  • Ability to multitask
  • Accuracy of work (attention to detail)
  • Actively participate as a team player to ensure unit cohesion.
  • Ability to maintain a high level of quality output regardless of the task load
  • Ability to take initiative and act quickly to deliver projects in a professional manner
