SUMMARY OF POSITION 

What's the Gig, you ask?

Our Events Lead is the glue between operations and our support office, working alongside senior management to produce events and represent the company in a sales capacity. Our Events Lead will report to the Head of Events and General Manager, will oversee events for the region (onsite & offsite), the entertainment programming, Games Masters and other ad-hoc projects.

Working closely with our venue operations teams this role requires serious personality, ensuring that every guest feels like a VIP and other Clayers are inspired by their example. This will be a dynamic role in-venue and offsite, supporting at the host desk, running events and contributing to the success of the venue. If you have a background in event systems like Salesforce, Tevalis, Sevenrooms and Canva, along with events & sales experience (agency or in-house), we want to hear from you!

Our ideal candidate brings at least four years of experience in event management, with a proven track record of managing end-to-end events (on and offsite), from site visits, proposals and budget management to onsite execution and supplier negotiation. But it's not just about the experience - our Events Lead needs to hit the ground running, fostering strong relationships with our Clayers (that's us!) and our Birmingham clients. 

DUTIES & RESPONSIBILITIES

Your role will include but may not be limited to the following responsibilities;

  • Act as the event manager and point of contact for all bookings and events on and offsite. 
  • Represent the Clays sales team by meeting with clients, hosting tastings and networking with the local community. 
  • Hosting weekly event meetings and ensuring all information for the following 2 weeks has been collected and communicated with the venue teams.
  • Manage information flow through bespoke in-house systems, ensuring best in class event delivery and accurate communication / swift escalation when necessary.
  • Ensure that all customer queries or requests are handled in a polite and efficient manner within 24 hours. 
  • Prepare and communicate runsheets & function sheets. 
  • Brief the front of house and kitchen teams to ensure the smooth running of all events. While also supporting the venue in a host like position, greeting guests and ensuring Floor Managers & Assistant Floor Managers are kept abreast of booking details. 
  • Be responsible for proposing, contracting, organising and delivering any specific equipment for events/clients outside our standard offering.
  • Organise and manage the Games Masters and DJ roster through GigPig.
  • Liaise with the management team to ensure adequate staffing is scheduled to deliver events.
  • Feedback to the Head of Events on learnings and analysis from events.
  • Create programming ideas for local, cultural and seasonal events such as Mothers Day, Fathers Day and Halloween.
  • Onsite and office management of activations including seasonal projects like Christmas or Summer installations, or Clays company pop-ups at industry events and in local community spaces. 
  • Writing SOPs for various parts of the event operations to ensure there is clarity when implementing new processes across the group.
  • Support operations in venue working on peak days subject to the business needs.

  • At least 4 years of experience working in a similar role in events management.
