Overview:The Property Document Paralegal plays a key role in supporting the Property team through the effective management of property-related legal documentation, transactions and records. This fast-paced role combines legal administrative support with document control responsibilities, ensuring that all property documentation is accurate, compliant, securely maintained and readily accessible.
The successful candidate will assist with property transactions, lease administration, compliance tracking, internal communications and document management processes, while maintaining high standards of confidentiality and accuracy.
The ideal candidate will bring previous experience in a Property Paralegal, Legal Assistant or Document Controller role, with a solid understanding of commercial or residential property processes and legal documentation. They will have excellent organisational and administrative skills, strong attention to detail and accuracy, and the ability to prioritise a varied workload against multiple deadlines.
They will have strong communication and stakeholder management skills, comfortable liaising with external solicitors, landlords, tenants, managing agents and internal stakeholders, and be proficient across Microsoft Office applications. Experience setting up and using document management systems and electronic filing platforms is important, as this role will design and implement the team's lease and legal documentation management system.
The role will be based in the Shoreditch office four days a week.
Key Responsibilities
▪ Assist with the preparation, review and administration of lease agreements, Licences to Alter and Licences to Occupy, property contracts and deeds, Land Registry applications and submissions, and completion statements and legal correspondence.
▪ Support property acquisitions, disposals, lease renewals and portfolio management activities.
▪ Liaise with external solicitors, landlords, tenants, managing agents and internal stakeholders.
▪ Conduct property and legal searches as required.
▪ Design and implement a lease/legal documentation management system.
▪ Maintain transaction trackers and monitor key contractual and lease dates.
▪ Assist with due diligence exercises and property compliance reviews.
▪ Prepare legal summaries, reports and document packs for internal review.
▪ Ensure compliance with company procedures, legal requirements and regulatory obligations.
▪ Manage the relationship with the VOA and business rates authorities — communicating on incoming/outgoing traders, managing payment timetables, and limiting exposure to business rates liabilities on vacant units.
Document Control Responsibilities
▪ Implement, maintain and manage electronic and hard-copy filing systems for all property and legal documentation.
▪ Ensure accurate document version control, naming conventions and document tracking procedures are followed.
▪ Upload, organise, archive and retrieve documentation in line with company policies.
▪ Maintain close communication with finance and the property team to ensure the correct billing of traders.
▪ Maintain registers for leases, contracts, deeds, warranties and compliance documentation.
▪ Coordinate document approvals and distribution across departments and external parties.
▪ Ensure confidential and sensitive information is handled securely and professionally.
▪ Support internal and external audits by providing requested documentation in a timely manner.
▪ Continuously improve document management processes and filing efficiency.
Key Skills & Experience:
▪ Previous experience in a Property Paralegal, Legal Assistant or Document Controller role.
▪ Understanding of commercial or residential property processes and legal documentation.
