** Temp position

Position Summary: The Office Administrator is responsible for the administration of Cafe Rio’s Corporate Office (The Restaurant Support Center) front desk and office coordination activities. This includes being the face of the office for all visitors and guests. Additionally, this position will support the administrative functions of the recruiting department and will support the rest of the HR departments in an administrative role as needed. This role requires proficiency in speaking and writing in English and Spanish. This position reports to the Head of Recruiting.

 

 

Responsibilities:

 

Reception & Client Needs – 25%

  • Effectively answers inquiries and properly routes phone calls and email
  • Monitors front door and entrance security systems
  • Attends to office visitors as needed
  • Coordinates office special events such as employee reward/recognition initiatives and executive level meetings, this includes any catering needs

 

Mail (Collection, Sorting, Distribution, Postage and Sending) – 10%

  • Maintains, updates and distributes contact information for support center employees, including those in field-facing roles as well as all Cafe Rio restaurant locations
  • Reviews, sorts and distributes mail, packages and other deliveries
  • Collects and processes all office mail and shipments, including assembling packages, creating and affixing proper labeling and postage, and delivering items to shipping area as needed

 

Supply Ordering & Maintenance – 20%

  • Maintains office, conference room, and kitchen adequately stocked
  • Places supply orders, as needed to maintain reasonable stock levels, including all required shipping supplies
  • Ensures office environment and common areas are clean and organized at all times

 

HR Department Support – 45%

  • Administrative tasks and issue resolution with our applicant tracking system
  • Post job ads on professional sites, job sites and social media
  • Participate in candidate sourcing efforts
  • Support team members in accessing all people facing applications.
  • Complete administrative duties for various HR department teams as needed.
  • Support COVID task force

 

 

Qualifications

  • One to two years in an office administrator role for a company with 3,000+ employees
  • High school diploma, some college preferred
  • Proficient with Microsoft Office tools, specifically Outlook, Word, and PowerPoint
  • Exhibits professional presence and delivers excellent customer service
  • Able to effectively communicate verbally and in writing
  • Completes tasks with minimal direction and supervision
  • Detail oriented with strong organizational and time management skills
  • Able to effectively multi-task and adapt to changing priorities
  • Proficiency in speaking and writing in English and Spanish
