Description

In the late 1960’s film classic Cool Hand Luke, Paul Newman’s devil-may-care attitude lands him in a Florida jail for cutting off the heads of parking meters. Outnumbered, Newman is dared by his cellmates to eat 50 hard-boiled eggs in an hour. Duties and responsibilities

• Open Table
o Plugging in all events to match Tripleseat
o Checking daily/weekly to ensure all event notes in OT have been updated & head counts are accurate
o Blocking Open Table for events & buyouts
 Checking each shift for accurate scheduling & setting last seating times
• Tripleseat
o Assist with plugging in leads
o Canceling lost leads & noting reasons
o Plugging in basic small group contracts (7-12) to send to Sales Manager to send on to clients
o Running monthly reports
 Canceled leads
 Lead source
 Stats for event sizes
 End of month financial reports (bi-monthly)
• Administrative
o Filing closed BEO’s
o Ensuring all contracts/BEO’s/invoices are saved in respective folders in Dropbox for events
o Scanning business cards
o Assisting to send client gifts monthly
o Assisting in the updates of proposals/floor plans and organization of all sales files in Dropbox
• Events
o Create event checklists & floor plans
 Ensure all items on checklists are completed prior to event
 Ensure floor plans and timelines are shared with Chefs/managers for scheduling
o Handling all rentals – ensuring rentals are ordered for event, ensuring they’ve arrived & confirming with staff location for rental pickup
o In charge of décor & easels – ensuring checklists are completed and staff is getting them signed and décor is returned to the proper place
o Being the “go to” for clients during events – being aware of head count, communicating with staff/chefs/managers, ensuring food and beverages are on time
o Formatting logos for event
o Creating menus for events – designing and printing all personalized menus needed
• BEOS
o Closing out BEO’s in Tripleseat, ensuring financials match
o Taking care of any edits or fixes for Micros/Tripleseat
o Making sure all BEO’s are posted for the week/following week
 Highlighting important notes and being an extra pair of eyes
 Ensuring that any changes get reprinted, reposted and communicated to the team


Qualifications

• Minimum 2 years of hospitality sales, administrative assistant, promotional marketing, advertising, and/or public relations preferred.
• Hospitality experience
• Excellent verbal and written communication skills
• Technical skill set to drive the business toward success
• Strong organizational and priority setting skills
• Advanced knowledge of Microsoft products, Open Table software and company identified software including sales programs (i.e Tripleseat) a plus
• Ability to work independently while ensuring that managers and/or clients possess the pertinent information for the execution of a successful event or promotion
• Ability to communicate effectively with co-workers and clients
• Able to work flexible hours necessary including off hours, weekends and holidays

Physical requirements

• Must be able to stand and walk for long periods at a time during events.
