Description

We are looking for a dynamic individual who has drive, demonstrates initiative, and wants to serve the needs of both the Human Resource and Marketing Departments.  


Position Overview

The primary responsibility of the Human Resource & Marketing Administrative Assistant is to demonstrate flexibility in handling a diverse range of administrative tasks. This includes but is not limited to overseeing our anniversary program, printing and laminating menus, assembling fundraising baskets, preparing presentations for audited reports, and much more. Variety of tasks is the “fun” part of this position.

The role necessitates someone with integrity, as they will have access to highly confidential information, yet they must also be personable and approachable to team members. Creativity and a positive attitude are essential qualities that will contribute to making this position a great one..

Duties and Responsibilities:

Marketing

  • Assist in the development and execution of marketing campaigns across various channels, including digital and traditional media.

  • Coordinate marketing materials production, including collaterals, presentations, and promotional items.

  • Support social media management efforts, including content creation, scheduling, and engagement tracking.

  • Assist in organizing events, fundraising baskets, donation sends,  and other marketing activities.

  • Printing, laminating, and cutting of materials

  • Conduct market research and gather data to support marketing strategies.

Human Resource

  • Assist with recruitment processes, including job postings, scheduling interviews, and coordinating candidate communications.

  • Maintain employee records and databases, ensuring accuracy and confidentiality.

  • Assist in onboarding new employees, including paperwork, orientation, and training coordination.

  • Assist in regularly running audit reports and communicating accordingly

  • Handle employee inquiries and provide support on HR-related matters.

  • Assist in the administration of employee benefits programs.

Administrative Support

  • Provide general administrative support to both HR and Marketing departments, including calendar management, meeting coordination, and document preparation.

  • Assist in managing invoices and expenses.

  • Assist in the coordination of events.

  • Handle correspondence and communications on behalf of the departments.

  • Prepare presentations and monthly reports

Education and Experience Required

  •  Bachelor's degree in Human Resources, Marketing, Business Administration, or related field preferred.

  • Proven experience in administrative support roles, preferably in HR and/or Marketing.

  • Strong organizational and time management skills with keen attention to detail.

  • Excellent communication skills, both written and verbal.

  • Proficiency in MS Office Suite and familiarity with HRIS and marketing software/tools is a plus.

  • Ability to multitask and prioritize tasks in a fast-paced environment.

  • Discretion and ability to handle confidential information with professionalism.
