Office Manager & Admin Support

 

F1 Arcade® is the world's first official Formula 1® social entertainment venue, where high-octane excitement meets exceptional hospitality! Each meticulously designed venue features up to 90 state of the art full motion F1 racing simulators, a world-class food menu and open kitchen, an enormous cocktail and champagne bar, along with private and semi-private event spaces, perfect for all group sizes. Role Overview
The Office Manager & Admin Support is a dual-role position, managing day-to-day office operations and providing administrative support to the Chief Technology Officer (CTO) and the senior leadership team. This position requires a highly organized individual who can balance office management tasks with executive support, ensuring a productive and dynamic work environment.


Location: Hybrid role – 3 days in-office (Kings Cross/St Pancras area) and 2 days remote
Salary: Up to £35k
Reports to: Senior Executive Assistant
Department: Admin

 

Key Responsibilities:
Executive Assistant Duties:

  • Manage the CTO’s busy schedule, arranging meetings, calls, and appointments across time zones.
  • Monitor and manage the CTO’s inbox, prioritizing urgent tasks and responding as needed.
  • Arrange domestic and international travel, including flights, hotels, and transportation.
  • Track important tasks, deadlines, and meetings, keeping the CTO informed of priorities.
  • Prepare presentations, ensuring alignment with company branding and messaging.
  • Organize and maintain a filing system for documents and presentations.
  • Distribute internal and external communications and process CTO expenses via Spendesk.

Office Management Duties:

  • Oversee daily office operations, ensuring a pleasant and productive environment.
  • Liaise with the landlord and manage office maintenance, including repairs and security.
  • Manage relationships with external office stakeholders and handle office-related invoices.
  • Coordinate office events such as team lunches, monthly HQ events, and off-site meetings.
  • Ensure compliance with health and safety regulations and maintain stocked first-aid kits.
  • Assist with new hire onboarding, preparing welcome packs and office setups.
  • Support IT operations, including distribution list updates, SharePoint access, and audits.
  • Organize company business card orders and staff birthday celebrations.
  • Handle office expenses, aligning with budget and finance teams.

 

Key Requirements:

  • Strong organizational skills to manage executive schedules and office operations seamlessly.
  • Proactive, self-starter capable of managing competing priorities and resolving issues efficiently.
  • Excellent communication skills, with the ability to engage at all levels of the organization.
  • Proficiency in Microsoft Office and familiarity with tools like Slack, Trello, or Asana is a plus.
  • Experience in an Executive Assistant or Office Manager role, ideally in a fast-paced environment.
  • Discretion in handling confidential information.
