JOB TITLE: Lease Administrator & Accounts Receivable
Manager

SUMMARY OF POSITION: The Lease
Administrator & Accounts Receivable Manager is responsible for day-to-day
administration of commercial and residential leases, manage tenant
relationships, ensure timely collection and reporting of rents, maintaining
accurate records, coordinating with legal counsel on lease issues, and handling
accounts receivable functions, including invoicing, cash receipts, and
reconciliation.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Lease Administration:
- Prepare, review, and manage commercial and residential
lease agreements.
- Maintain accurate lease files, ensuring all
documentation is complete and current.
- Track lease expirations, rent increases, renewal
options, and other key dates.
- Coordinate with property management and tenants on
lease-related matters, including move-ins, move-outs, and lease renewals.
- Assist in the negotiation of lease terms and
conditions, in coordination with senior management and legal counsel.
- Ensure compliance with lease agreements and local
regulations.
Accounts Receivable:
- Fund Control
- Prepare and issue monthly rent invoices to tenants.
- Monitor and ensure timely collection of rent payments,
security deposits, and other charges.
- Track delinquent accounts and follow up on overdue payments,
coordinate with legal counsel when necessary.
- Process and reconcile cash receipts, bank deposits,
and tenant ledgers.
- Prepare ageing reports and assist with cash flow
forecasting.
- Manage tenant inquiries and resolve billing
discrepancies promptly.
Financial Reporting & Record Keeping:
- Maintain accurate financial records related to leases
and accounts receivable.
- Assist with audits, internal reviews, and financial
planning processes as required.
Communication & Coordination:
- Serve as the primary point of contact for tenants on
lease and billing matters.
- Liaise with property managers, contractors, and legal
counsel regarding tenant issues, property maintenance, and other
operational needs.
- Collaborate with management to provide strategic input
on leasing matters.
Other Responsibilities:
- Set-up and disconnections of utilities.
- Bank Deposits, as needed.
- Answer phone lines.
- Perform other related duties, as assigned.

- Willingness to
travel to various locations as needed.
EDUCATION AND EXPERIENCE
- Bachelor’s degree in
business administration, accounting, finance, or a related field (preferred).
- 3+ years of experience
in lease administration and/or accounts receivable management, preferably
within real estate.
- Strong understanding of
commercial and residential leases, real estate terminology, and accounting
principles.
WORKING
ENVIRONMENT/MINIMUM PHYSICAL REQUIREMENTS
- Full-time position: the position may require weekends and evening
work.
- Physical
requirements include standing, sitting, going up and down stairs, and walking,
bending, and stooping.
- Must be able to lift up to 20 pounds at times.
