Accounts Payable


This role of Accounts Payable is to ensure the smooth running of this function ensuring all the supplier accounts are processed and paid in a timely manner to maintain a good relationship for the hotel with suppliers.

Assist the Assistant Director of Finance to be accountable for all the financial activities which include financial controls, protection of company’s assets, accounting operations, preparation of financial reports and the management of the annual budget.

 

Primary Responsibilities:

 

  • Ensure all suppliers invoices are accounted correctly adhering to the procedure to process and pay invoices in timely manner.
  • Ensure all inflow of invoices through purchasing, post and email are monitored daily to keep a smooth flow and control of processing.
  • Liaise with department heads to ensure all invoices are approved before paying.
  • Ensure the coding of invoices reflects correct budgets and cost centres.
  • Ensure 3 way matching is correct to ensure hotel pay for what was agreed and received.
  • Reconcile all supplier accounts monthly with statements.
  • Resolve any queries and variances promptly by phone and email trace.
  • Resolve any final demands if received promptly but also inform Assistant Director of Finance immediately on receipt.
  • Prepare monthly payment runs and send out remittances
  • Process staff expenses (cash and credit cards)
  • Manage and request cheque / BACS payments.
  • Process petty cash vouchers
  • Advise Assistant Director of Finance on existing and evolving operational /financial issues.
  • Meet all payment deadlines
  • Maintain clear and organised records to ensure all reports and invoices are filed and stored properly.
  • Prepare and assist Management Accountant with accruals for management accounts
  • Maintain open POs and work with Purchasing and Department heads to ensure they are closed in timely manner especially for services.
  • Ensure procedure followed for new suppliers forms from Head Office or amendments.
