As a Groups & Events Planning Coordinator, you will maximise profit across all hotel areas through the planning and coordination of groups and events. You will act as the main point of contact for meeting planners and clients, ensuring operational excellence while delivering service standards that consistently exceed client expectations.
• Act as the main point of contact for groups and events from contract signature to departure
• Prepare quotations for social events and meetings with fewer than 10 rooms, maximising revenue across catering, meeting rooms, and additional hotel services
• Coordinate all operational details by liaising effectively with all hotel departments involved
• Prepare group summaries and Food & Beverage service orders at least 7 days prior to arrival or event date
• Review group files received from the Group Sales Coordinator, including contracts, programmes, and room blocks
• Conduct introductory calls with clients and follow up with confirmation emails including personal contact details
• Identify customer needs to upsell food & beverage and additional services, maximising sales and profitability
• Follow up on deposits and payments in line with contractual terms
• Resolve any operational challenges during the group or event and ensure appropriate client follow-up
• Be present during the group stay, maintaining close contact with the client and supporting the operation
• Review group and event invoicing to ensure accuracy
• Participate in daily Food & Beverage service order and group summary meetings
• Plan and conduct pre-convention meetings with department heads and meeting planners
• Conduct post-event follow-up interviews to assess satisfaction and identify future business opportunities
• Send a thank-you email within three days of departure, encouraging repeat business
• Support inspection visits when required by the Groups & Events Manager
• Minimum 2 years’ experience in a similar Groups & Events or MICE role
• University degree in Tourism, Hospitality, Marketing, or similar (preferred)
• Strong organisational, planning, and analytical skills
• Excellent communication and interpersonal skills
• Proactive, solution-oriented approach with strong attention to detail
• High passion for service and customer experience
• Fluency in English; additional languages are an advantage
• Eligibility to work in the UK is essential
