Job Summary
The Administrative Assistant is responsible for facilitating the efficient operation of the organization by providing a wide range of clerical, administrative, and office management support. This role may include duties in general administration, human resources, and office coordination to ensure smooth business processes.
Duties and Responsibilities
· Answer and transfer phone calls, screen calls as necessary, and direct departmental communications.
· Welcome and direct visitors, clients, and employees.
· Maintain filing systems, records, documentation, and ensure compliance with company policies.
· Retrieve information from records, email, minutes, and related documents; prepare written summaries as needed.
· Respond to and resolve administrative inquiries and questions, referring complex issues to senior staff.
· Coordinate and schedule travel, meetings, appointments, and maintain calendars for management.
· Prepare agendas, record and distribute meeting minutes, and organize appointments.
· Process office mail and correspondence; proofread and type documents.
· Maintain office supplies inventory and coordinate maintenance of office equipment.
· Assist in maintaining human resource files, records, and documentation, ensuring confidentiality and integrity.
· Assist in planning and execution of special events such as benefits enrollment, company meetings, and employee recognition events.
· Perform other related duties as assigned.
Required Skills and Abilities
· Excellent verbal and written communication skills.
· Outstanding interpersonal and customer service skills, with the ability to manage sensitive and confidential situations professionally.
· Strong organizational skills and attention to detail.
· Excellent time management abilities and capacity to meet deadlines in a fast-paced environment.
· Proficiency in Microsoft Office Suite, Google Workspaces and related software; ability to quickly learn HRIS, payroll, and similar applications.
· Extensive knowledge of office management systems and procedures.
· Ability to operate general office equipment and type at least 60 words per minute.
· Ability to prioritize tasks, delegate when appropriate, and work independently.
Education and Experience
· High school diploma or equivalent required
· Two to five years of experience in an administrative, clerical, or human resources role preferred.
Physical Requirements
· Prolonged periods of sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
