Description

The Sr. Legal Administrator will report to the General Counsel for JFCUSA and will provide administrative support and services for the operations of JFCUSA and its affiliated entities. The legal team provides advice to JFCUSA’s affiliates and business departments that support the system brands, including managing core legal operations, corporate governance workflows, and administrative processes that ensure the company’s entities remain in good standing across North America. This role combines high‑level administrative expertise with hands‑on responsibility for drafting governance documents, coordinating regulatory filings, drafting audit responses, supporting litigation matters, and overseeing legal department invoicing and payment processes. The position is hybrid, with regular in‑office collaboration required. There is no “typical day” – every day is a different challenge.

 

General duties include but are not limited to support of various areas of the business as outlined below:

 

Corporate Governance Support — Draft, edit, and maintain corporate governance documents including board resolutions, consents, meeting minutes, officer lists, and entity records. Coordinate signature collection and ensure proper document retention.

 

Annual & Periodic Filings — Prepare and file annual reports, business license renewals, and other required state/provincial filings for all corporate entities. Track deadlines, maintain compliance calendars, and liaise with external agents as needed.

 

Entity Management — Maintain accurate entity data, organizational charts, and registered agent information. Support formation, dissolution, and qualification processes.

 

Legal Operations & Invoicing — Manage legal department invoicing, including intake, coding, processing, and reconciliation. Monitor outside counsel spend, track budgets, and coordinate with Finance on payment status.

 

Contract Administration — Assist with contract lifecycle tasks such as template management, version control, execution packages, and repository maintenance.

 

Litigation Support — Coordinate litigation hold notices, track compliance, and maintain related documentation. Process and respond to wage garnishments in partnership with HR and Payroll. Manage subpoena intake, coordinate discovery responses, gather documents from internal stakeholders, and liaise with internal and external outside counsel to ensure timely and accurate production.

 

Cross‑Functional Coordination — Serve as a liaison between Legal, Finance, Compliance, Operations, and external partners to ensure timely completion of governance and regulatory tasks.

 

Document & Records Management — Maintain organized, secure, and searchable legal files, including digital repositories and physical records.

 

Administrative Support — Provide executive‑level administrative support to the General Counsel and legal leadership, including scheduling, meeting preparation, and project coordination.

 

Qualifications

Education: Bachelor’s degree preferred; paralegal certificate or equivalent legal training a plus.

 

Experience

8+ years in a legal administrative, corporate governance, or paralegal role; experience with multi‑entity organizations strongly preferred.

 

Skills
