We have and exciting opportunity for a Payroll Specialist to join our growing team. As the Payroll Specialist you will be responsible for compiling and recording employee time and payroll data and processing semi-monthly transfer of correct payroll data to ADP. The Payroll Specialist supports the Payroll Manager for developing, enhancing, maintenance and executing HR/Payroll systems and activities for internal employees. These activities include, but are not limited to, administration of employees’ payroll, personnel record management, safety coordination, training, auditing, creating and updating the Payroll Manual and special projects as assigned.

This role is a hybrid role.  The selected candidate must be able to come to the office in Irvine, CA on in office days and as needed to carry out necessary functions of the role.

 ESSENTIAL DUTIES:

  • Completes all filings in timely manner 
  • Performs all activities necessary to process one or more full cycle multi-state payrolls, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management. 
  • Ensures payroll records are accurate and complete by conducting semi-monthly audits of all change activity back to the original documentation. 
  • Makes sure all payroll related regulations and laws are up-to-date including minimum wages of Federal, State, County and City. 
  • Hires additional staff under the payroll when needed 
  • Conducts research and analyzes data on assigned projects and produces summary reports for submission to company executives.
  • Administers new hire and termination packets for all employees. 
  • Reviews employees’ timesheets for payroll processing. 
  • Verifies I-9 documentation and maintains books current 
  • Tracks and audits employee PSL/PTO requests – communicates discrepancies to Payroll Manager 
  • Updates HR spreadsheets with employee change requests and processes paperwork. 
  • Enters and audits employee information on HRIS system.
  • Stays current with current state and federal employment laws.
  • Compile payroll data such as garnishments, vacation time, insurance and 401(k) deductions.
  • Contact various area managers for any missed times. 
  • Process semi-monthly transfer of payroll data to ADP. 
  • Process semi-monthly payroll when payroll manager is absent. 
  • Compile internal management reports from payroll system software. 
  • Maintains payroll information by collecting, calculating, and entering data. 
  • Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers. 
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and workers compensation payments. 
  • Resolves payroll discrepancies by collecting and analyzing information. 
  • Provides payroll information by answering questions and requests. 
  • Maintains payroll operations by following policies and procedures; reporting needed changes. 
  • Maintains employee confidence and protects payroll operations by keeping information confidential. 
  • Maintains information in the HRIS up-to-date 
  • Creates requested reports and provides 
  • Contributes to team effort by accomplishing related results as needed

QUALIFICATIONS AND EDUCATION/EXPERIENCE

  • Above average ability to use personal computer for word processing, data entry, and automated time systems. 
  • Attention to detail and accuracy regarding time and organizational management. 
  • Requires multi-tasking and extensive customer service skills, and the ability to handle stress in a fast paced working environment. 
  • Ability to foster and maintain positive working relationships with all levels of management and store personnel. 
  • Ability to apply basic skills relative to office administration. 
  • Must possess personal qualities related to respect for the rights and confidentiality of others.
  • High school diploma or equivalent. 
  • Requires knowledge of word processing and spreadsheet applications. 
  • 2-4+ years of clerical or administrative experience.  
  • Ability to effectively communicate both orally and in writing. Requires knowledge of spelling, grammar, punctuation, sentence/paragraph structure, and formatting.
