Located in the heart of the commercial district on Old Hall Street, Innside by Melia Liverpool is a new 4* lifestyle hotel with 207 bedrooms, 7 conference suites as well as views over Liverpool and the River Mersey at Gino’s 360-degree Sky Bar on the 18th floor. Immersed in art, music, and culture, Liverpool’s newest and most anticipated lifestyle hotel is within walking distance of major corporate offices and local attractions.

Job Purpose: Responsible for maximising profits in all hotel areas through the planning and coordination of groups and planning of events in the hotel, assisting meeting planners or customers directly and ensuring that quality and service standards exceed customer expectations at all times.

Duties Include:

  • After the signature of the group contract, you will be responsible for the group and as a point of contact between the group and the hotel  
  • Prepare price quotes for all group requests for social events. Also responsible for full contract and planning for any short lead enquiries that have an arrival date within 14 days of enquiry date.  
  • Coordinate all the operational details of groups and events, efficiently communicating to all the departments involved the characteristics of the group and the services required to successfully meet their requirements  
  • Completion of BEO’S , distributing them at least 7 days before the arrival of the group or the date of the event  
  • Responsible for group room blocks from DEF contract stage including input of rooming lists, correct routing instructions, ensuring that VIP reservations are highlighted accordingly, allocating correct room types and traces are assigned where necessary to give front office a clear overview of incoming group room blocks  
  • Analyse customer needs in order to start the upselling of food and beverages and services to maximise sales and profit  Monitor deposits and payments due on the dates stipulated in the contract, updating the pro-forma invoice and sending it to the customer whenever necessary  
  • Participate in morning briefing meetings to support with and coordinate the BEO’s and group summaries together with all the departments involved in operations. 
  •  Report any changes, cancellations or special requests to the appropriate departments via the daily change log  
  • Responsible for planning and leading the pre-convention (pre-con) meeting to ensure direct relationship is created between the department heads and the meeting planner responsible for the group  
  • Resolve, if necessary, any issue with the group or event and carry out the appropriate follow-up actions with the customer 
  • Responsible for closing the group files after all the information has been received. Report customer comments about the event or group to all hotel departments
  • Maintain regular contact with the customer, supporting operations and making sure everything is carried out as planned during group bookings
