SUMMARY OF POSITION 

What's the Gig, you ask?

We’re on the hunt for an experienced Events Executive to join our growing team. Working closely with and reporting to our Events Lead, you’ll be an integral part of bringing events to life at Clays. 

This role is all about confidence, delivering incredible guest experiences, providing best-in-class support to the venue and support office teams; ultimately ensuring events run seamlessly. 

We’re looking for someone who thrives in a busy hospitality environment, has a sharp eye for detail, and prides themselves on excellent communication and organisation. You will be expected to hit the ground running operationally, be a whizz with systems, write function sheets, and have a background in event systems like Salesforce, Tevalis, SevenRooms, and Canva. You should have experience in events and hospitality - ideally in an agency or hospitality venue, be passionate about bringing the magic of events to life, making people feel welcome, and delivering memorable experiences to every guest who walks through the door.

DUTIES & RESPONSIBILITIES

Your role will include but may not be limited to the following responsibilities;

  • Support the Events Lead with day-to-day event planning and execution, both onsite at the venue and through administrative tasks in the Support Office.
  • Be a primary onsite contact for London based events, assisting with pre-planning and logistics, setup, guest welcoming, and ensuring operations are fully briefed.
  • Assist in preparing event documentation such as runsheets, and function sheets; ensuring details are accurately communicated to operational teams.
  • Support in coordinating entertainment rosters (e.g. Games Masters and DJs), external suppliers, and provision of event equipment.
  • Assist in event-specific communications with clients in the lead-up to events, ensuring all details are confirmed through dedicated systems and client expectations are managed. 
  • Host weekly venue briefings - coordinate with front of house and back of house Clayers to ensure all booking details are shared and correct. 
  • Work in-venue during key events, supporting the floor teams with guest experience and logistical coordination. Ensure post-event feedback is recorded and communicated to the Events Lead.
  • Help with office-based tasks, including supplier admin, event calendar upkeep, and document filing. 
  • Support senior management with general projects and administration.
  • Support in-venue operations on peak days or when large-scale activations require all hands on deck.

SKILLS, DESIRED QUALIFICATIONS & ATTRIBUTES

  • At least 3 years of experience working in a similar role in events or operations management.
  • Always looking for opportunities to improve your knowledge and abilities.
  • Passionate about hospitality and creating amazing, safe and lasting experiences.
  • Self-directed with a strong work ethic.
  • A keen eye for detail with excellent written and verbal communication skills
  • Honest with strong moral principles.
  • Have the initiative to problem-solve and propose creative and better ideas to be more efficient as we grow as a team and company. 
  • Possess a positive, motivated and trustworthy outlook whilst at work.
  • Be polite and helpful to guests and colleagues and receptive to feedback.
  • Punctual and reliable with a flexible approach to working hours. 
  • Adept in PowerPoint, Excel, Microsoft Word, Sevenrooms, Salesforce, Canva & Tevalis. Me&U desired but not required. 
  • Excellent verbal and written English and proficiency in other languages desired but not required.
