Your Impact

The Facilities Coordinator is the operational backbone of the Facilities department, keeping our restaurants safe, compliant, and running smoothly. This role owns preventive maintenance schedules, compliance records, vendor coordination, and data integrity in ResQ, our facilities management platform, and serves as the single source of truth for all facilities documentation.

This coordinator is both proactive and precise, someone who manages multiple workflows with ownership and attention to detail, and who the Facilities Manager can count on to handle the operational details with minimal oversight.

What You Will Do

Preventive Maintenance & Equipment Management

  • Own and maintain preventive maintenance (PM) schedules in ResQ for critical systems, including HVAC, refrigeration, fire/life safety, plumbing, and kitchen equipment

  • Create, assign, and monitor recurring PM work orders to ensure timely completion

  • Maintain accurate equipment, warranty, and service history databases

  • Keep the ResQ database up to date with current asset, vendor, and work order information

Compliance & Records Management

  • Maintain all inspection, certification, and compliance records, including fire suppression, hood cleaning, backflow prevention, and related systems

  • Escalate Department of Health (DOH) violations to the appropriate team and track corrective actions through to resolution

  • Serve as the single source of truth for all facilities documentation

  • Prepare monthly compliance and preventive maintenance reports for the Facilities Manager

Vendor & Service Coordination

  • Support vendor procurement, including sourcing, documentation, and onboarding requirements

  • Coordinate services that require alarm system deactivation, Certificate of Insurance (COI) documentation, or other building-specific requirements

  • Support warranty claims by compiling documentation, service timelines, and equipment history for the Facilities team

  • Validate invoices against completed PM services and scheduled work orders

Facilities Manager Support & Emergency Response

  • Assist the Facilities Manager with proposal reviews, invoice workflows, and project coordination while maintaining accurate records for compliance and audits

  • Support emergency response for critical equipment failures or safety hazards, coordinating rapid vendor deployment and communicating clearly to minimize disruption to our restaurants

What Success Looks Like

  • PM schedules are current and no recurring tasks are missed

  • Compliance records are accurate, organized, and audit-ready at all times

  • The ResQ database reflects current, reliable information across all assets and work orders

  • Vendors are coordinated efficiently and documentation is always in order

  • The Facilities Manager can rely on this role to handle operational details with minimal oversight


Who You Are

  • Highly Organized: Strong organizational skills with a demonstrated ability to manage multiple concurrent workflows with precision and ownership.

  • Systems-Driven: Comfortable working in platforms and databases; experience with facilities or work order management systems like ResQ is a plus.

  • Detail-Oriented Record Keeper: Skilled at documenting and maintaining compliance and maintenance records that are accurate and audit-ready.

  • Clear Communicator: Strong written and verbal communication skills; keeps teams, vendors, and leaders informed and aligned.

  • Proactive Problem Solver: Anticipates needs, follows through, and takes ownership without waiting to be asked.

  • Calm Under Pressure: Works effectively in time-sensitive or emergency situations, keeping communication clear when it matters most.

  • Facilities-Familiar: Familiarity with commercial kitchen equipment, HVAC systems, or fire/life safety compliance is preferred.

  • Vendor Savvy: Experience supporting vendor procurement and invoice validation processes is preferred.

  • Experienced: 2+ years of experience in facilities coordination, operations administration, or a related field is preferred.

  • Passionate: About hospitality, operational excellence, and creating safe, welcoming restaurants for our Guests and teams.
