About the position
As the Sales & Reservation Agent, you are the main point of contact for all guest bookings and inquiries via phone, email, WhatsApp and social media. You handle all reservations personally, ensuring a smooth and professional guest experience from first contact to arrival. You bring solid hotel or hospitality reservation experience, ideally with strong knowledge of SevenRooms or similar reservation software.
This role requires a strong, confident personality, as you will often support the Hostess and Entrance team in managing demanding or high-expectation guests. You collaborate closely with all operational departments, especially the Head Hostess, to ensure accurate table planning, exceptional service and seamless daily operations.
Handle 100% of all reservation requests via phone, email, WhatsApp and social media
Manage daily booking flow using SevenRooms (or similar CRM/reservation platform)
Guide guests through booking options and respond to inquiries with clarity and professionalism
Redirect group, partnership or event inquiries to Marketing or Sales when needed
Build strong relationships with Hotel Concierges and local network (city hall, tourism agencies, etc)
Upsell premium packages and promote Nikki Beach events and experiences
Stay fully updated on menus, pricing, events, entertainment and operating hours
Process deposits, prepayments and confirmations when required
Resolve booking changes or cancellations efficiently and proactively
Follow approved templates and maintain consistent communication tone and quality
Respond to all guest messages within 24 hours maximum
Maintain detailed guest profiles in the CRM (preferences, allergies, spend history, etc.)
Send post-visit thank-you messages and request guest feedback
Track promoter/concierge bookings and manage commission documentation
Prepare weekly and monthly reservation and commission reports
Support VIP bookings, including allocation strategy and outreach
Monitor and respond professionally to reviews on TripAdvisor and Google Business
Coordinate continuously with the Head Hostess, ensuring she is fully informed of all booking details
Train Hostess team members on reservation updates, SOPs and special events
Work closely with Operations, Marketing, Sales, and F&B teams to ensure smooth communication and planning
Experienced in hotel reservations, hospitality front office, or guest relations
Excellent communicator with strong writing and interpersonal skills
Friendly, organized, detail-oriented and service-driven
Confident, calm and assertive. Able to handle difficult or demanding clients at peak times
Fluent in English and French, any other languages are a plus
Comfortable with CRM/reservation software - SevenRooms experience is a strong advantage
Able to multitask across multiple communication channels
Works well under pressure and adapts quickly
