Position Title: Reservations Manager
Location: Nikki Beach Baku
Reports To: Sales & Events Manager and General Manager

Position Overview
At Nikki Beach Baku, the Reservation Agent plays a vital role in shaping the guest experience from the very first interaction. You are the voice of the brand - welcoming, informed, and solution-oriented. Whether responding to inquiries, confirming bookings, or coordinating with internal teams, you ensure every guest’s journey starts seamlessly and ends memorably. With precision, charm, and a guest-first mindset, you turn simple reservations into elevated experiences that reflect the Nikki Beach spirit of celebration.
Key Responsibilities
● Manage and confirm reservations through phone, email, WhatsApp, and social media platforms
● Offer personalized recommendations while confidently upselling VIP tables, beds, and packages
● Ensure accurate and complete guest information is captured in the reservations system
● Handle prepayments, confirmations, amendments, and cancellations with efficiency
● Coordinate with Sales and Marketing on partnership and group booking requests
● Use pre-approved templates for timely responses; escalate updates to Sales Manager as needed
● Maintain guest profiles, including preferences, allergies, and special occasions
● Communicate bookings, VIP arrivals, and key updates to the Hostess team daily
● Support training of the Hostess team on tools and SOPs for reservations
● Generate weekly and monthly reports, including reservation trends and commission data
● Track promoter and concierge referrals, confirming guest arrivals and applicable commissions
● Maintain organized records of promoters, contracts, and referral tracking sheets
● Recommend new concierge partnerships aligned with Nikki Beach clientele
● Lead reservations for special events including ticket sales, guest lists, and VIP coordination
● Assist in seating charts and layout planning with GM and Sales team
● Monitor and respond to guest reviews across platforms like Google and TripAdvisor
● Uphold Nikki Beach brand standards across all guest communication and interactions
Required Qualifications and Competencies
● Fluency in English, Russian and/or Azerbaijani
● Prior experience in reservations, front office operations, or guest relations
● Excellent written and verbal communication skills
● High attention to detail and data accuracy
● Strong multitasking and time management under pressure
● Familiarity with CRM systems, POS tools, and payment platforms
● Discretion in handling sensitive guest and business information
● Confidence in managing prepayments, invoicing, and online payment links
● Proficiency in email communication and Excel.
● Strong knowledge of Nikki Beach’s brand values, music, events, and lifestyle
● Ability to work cross-functionally with operations, events, and guest service teams
