Overview:
The Executive Assistant/Office Administrator provides high-level administrative support to the CFO and ensures smooth operations of the corporate office. This role requires a proactive, organized, and detail-oriented professional capable of managing complex schedules, supporting financial and operational functions and coordinating internal and external communications. The ideal candidate thrives in a fast-paced environment, maintains confidentiality, and acts as a trusted liaison for leadership and staff.
Key Responsibilities:
Executive Support:
· Manage the President /CFO’s calendar, schedule meetings, and coordinate travel arrangements.
· Prepare and review presentations, reports, and correspondence.
· Serve as a point of contact between the President/CFO and external stakeholders.
· Organize and maintain confidential documents and records.
· Coordinate company meetings, events and board materials.
· Assist with expense reports, invoicing and budget tracking
· Support President/CFO with data collection, reporting and financial documentation.
· Collaborate with finance and operations teams to ensure smooth workflows and accurate record-keeping.
Office Administration:
· Oversee daily office operations, ensuring a well-organized and efficient environment.
· Manage office supplies, equipment and vendor relationships.
· Support onboarding of new corporate staff.
· Draft and proofread internal communications.
· Coordinate cross-departmental projects and follow ups.
· Serve as a liaison for internal and external inquiries, escalating issues when necessary.
Qualifications:
· Bachelor’s degree in business administration, Finance or a related field, or an equivalent mix of experience and education.
· 3+ years of experience supporting executive leadership, preferably in finance or corporate environments.
· Exceptional organizational, time management, and multitasking abilities.
· Strong interpersonal and communication skills with the ability to present ideas clearly verbally and in writing.
· Excellent interpersonal, negotiation, and conflict resolution skills, and a desire to collaborate well as part of a team.
· Acts with integrity, professionalism, and confidentiality in all situations.
· High proficiency with Microsoft Office Suite; experience with project management or finance software is a plus.
· Innovative problem-solving skills and the ability to make quick, effective decisions.
· Ability to prioritize multiple projects and tasks to ensure timely delivery of high-quality deliverables.
Physical Requirements:
· Prolonged periods of sitting at a desk and working on a computer.
· Must be able to lift 50 pounds at times.
