Description

The role:

To be responsible for the sales and account management of the tour operators, golf tour operators and corporate business for Another Place, The Machrie, on Islay. Also, to support the marketing team with promoting The Machrie to these businesses. Tour operators and corporates make up a significant proportion of the guests at The Machrie.

To identify and manage a portfolio of tour operators, golf tour operators and island corporates for The Machrie. To build relationships, maximise sales and regularly communicate with them, including attending events.

Key responsibilities:

Sales support and contract management

  • Maintain a full list and build relationships with tour operators, golf tour operators and corporate clients we work with, have contracts with and a target list for new business.
  • Track, respond to, and follow up on sales enquiries promptly to ensure client engagement and drive revenue.
  • Serve as a point of contact for clients to make reservations, and address questions or changes related to their bookings or agreements.
  • Confirm pricing, deposits, payment terms for all corporate, Tour operator (TO) and Golf tour operator (GTO) clients.
  • Keep on top of payment schedules and outstanding balances.
  • Deliver updates, background, and figures of new and existing bookings at weekly meetings.
  • Ensure segmentation is used correctly and work with Sales and marketing director to adapt as required
  • Be responsible for driving revenue from tour operators, golf tour operators and corporate guests.
  • Collaborate with the sales and marketing director and group revenue & reservations manager to prepare, review, and finalise contract pricing, rates, and terms.
  • Proactively follow up with lost and repeat business.
  • Work closely with the golf general manager to identify new golf tour operators

Partnerships and events

  • Attend all relevant events, including at least two a year in Scotland as well as events in Europe and USA. You will be responsible for preparing arrangements for these events and getting collateral and sales tools to take and present.
  • Spend time at the hotel to host familiarisation trips and to meet corporates and distillery contacts. Some familiarisation trips will take place in Scotland and London as well as Islay.
  • Visit Another Place, The Machrie when required to meet corporates and work alongside the hotel team.

Coordination & Tech

  • Communicate with sales, events, guest services, operations, and other relevant departments to ensure smooth execution of client bookings.
  • Assist with scheduling meetings, site visits, or pre-event discussions between clients and team members.
  • Become proficient in our Property Management System (PMS) software.
  • Update client data in the system, ensuring data accuracy, visibility, and reliability for all teams.
  • Work with the event coordinator based at The Machrie, who will support with sales administration.

Marketing

  • Collaborate with the marketing team to target and attract new on-brand tour and golf tour operators
  • Create and distribute on-brand promotional material to tour and golf tour operators including email campaigns and presentations.

Feedback management

  • Work with the group guest services manager to gather client feedback post-event or post-stay for service improvement and relationship-building.
  • Identify upselling opportunities in partnership with the guest services team, offering additional room bookings or inclusive packages to enhance the client experience and boost revenue.

Departmental responsibilities:

  • Develop effective relationships with team members and third parties.
  • Carrying out various departmental and administrative tasks as required.
  • Act in accordance with health & safety laws.
  • Represent the brand at all times.

Key skills required:

  • At least five years’ experience of account management, sales and marketing
  • Excellent partnership and relationship building skills
  • Excellent face to face, telephone and written communication skills
  • Good knowledge of contracts and formal agreements
  • An understanding of Sales Force or sales software
  • Attention to detail and organisation skills
  • Experience of project management and project administration

General

  • Full time position
  • Hybrid location. Ideally within 2 hours of Glasgow airport for travel requirements
  • Working hours - Monday to Friday, 9am to 5pm with a degree of flexibility
  • Some weekend working required
  • £32,000pa OTE £35,200pa
  • Must be able to travel to Islay for up to a week at a time, Europe and US when required
  • The head office is at The Hangar, Aerohub Business Park, St Mawgan, Newquay, TR8 4RZ, and we have offices at Another Place, The Lake, Watermillock, Cumbria CA11 0LP
