Job Title: People Team Assistant

Salary: discussed at interview

Location: Remote

Reports To: Head of People

Overview:
We’re looking for a proactive and detail-focused People Team Assistant to support our People function with both administrative and system-based tasks. Working closely with the wider HR team, you’ll be responsible for maintaining accurate employee data, supporting recruitment and onboarding, managing documentation, and being a key user of Harri and Microsoft Teams.

Key Responsibilities:
HR Systems & Admin (Harri):

  • Upload and distribute new policies and documents
  • Manage user permissions, including adding managers and job templates
  • Update employee job titles and salaries, and process promotions
  • Coordinate new site setups with Harri account manager
  • Remove employees from schedules when needed

Documentation & Organisation:

  • Maintain and organise HR documents on Microsoft Teams (e.g., job descriptions, templates, onboarding paperwork)
  • Ensure phone directories, IT forms, and other reference materials are up to date and accessible
  • Track and share HQ birthdays, and update People calendars accordingly

Recruitment & Onboarding:

  • Monitor Recruitment and People inboxes daily
  • Upload new starters and probation reviews to relevant trackers
  • Assist with sending contracts, onboarding forms, and reference letters

Reporting:

  • Produce weekly travel and accommodation reports 
  • Create monthly people reports for finance

Collaboration & Support:

  • Assist team members  in learning Harri functionality
  • Act as a key point of contact for day-to-day HR admin queries
