Peter Callahan Catering is seeking both Account Executives and Producers to join our thriving team. We produce and create elegant events for high-end clientele, ranging from 700-person weddings to small promotional events for high-end fashion labels, and everything in-between! The people we are seeking for these positions should possess a singular focus, motivation, and creativity, and have an interest in the event production experience.
Account Executive:
Interact with clients and prospective clients to understand their needs, preferences, and budget for upcoming events
Draft proposals and sample menus for presentation to clients, including accurate base pricing sheets, tailored to client’s specific needs and interest
Plan events for assigned clients. Event planning and production includes rental lists, correct staffing needs, overseeing fabrication of props, assessing needs of venue and facilitating client requests as well as any other tasks necessary to assure an outstanding event.
Order all non-food items for events including rentals, ice, and décor items, etc
Create delivery schedule for events
Attend events as assigned and serve as the in-house contact to oversee staff and assure client satisfaction
Supervise event breakdown, leaving the facility undamaged and clean, with all trash removed and rental pickup scheduled or completed.
Write follow-up emails to clients, thanking them for their business, and maintain contact with all previous clients to work on booking future or annual events
Solicit new clients. Reach out to venues to maintain database of catering contract renewal dates and place PCC as exclusive and/or preferred caterer at all acceptable venues
Producer:
Type proposals and work on budgets with the Account Executive's direction. Follow up with client on proposals
Work after the event is booked to place rental orders, liquor orders, and draw up internal rental needs.
Work with graphics department on designs, designing buffets and bars, and dictating what passing trays should look like
Order other services such as flowers, music equipment, prop furniture, valet, tenting, and more.
Make sure all that is needed to complete service of a contract is taken care of
Producer may go to events depending on size and needs
On smaller events, the producer may act as the Account Executive
Learn SOP for complicated events, and large weddings, to work toward becoming Account Executive
Qualifications:
Bachelor's degree or higher
Previous experience in hospitality (Preferred)
Strong organizational skills and detail-oriented
Ability to be self-directed and take initiative
Proficiency with Microsoft Office
Schedule:
Full-time Monday-Friday including some nights and weekends depending on the volume of events
