What you’ll do

As a Purchasing Assistant, you'll enjoy your work and take pride in delighting our guests:

  • Adaco maintenance – system administration and coordination of requests to meet the needs of the three UK Hotel Operations.  This includes but not limited to addition / update of products, vendors, categories, quotations, users etc. and ensuring information is current and correct.  Prioritize enquiries dependent on Hotel needs. 
  • Monitor and maintain system integrity, reporting any discrepancies or issues
  • Process food invoices and credits daily ensuring all details match purchase orders and deliveries. 
  • Investigate and resolve invoice discrepancies in collaboration with suppliers and internal departments in timely manner.
  • Scan food invoices accurately to DocuWare in line with document control procedures.
  • Maintain organised, accessible records for audit and reporting purposes.
  • Support the team with administrative duties and procurement reporting.
  • Liaise with suppliers regarding order queries and deliveries
  • Coordinate with other hotel departments to ensure smooth supply chain operations.
  • Handle email and telephone enquiries.
  • Coordinate order and deliveries of supplies to DC Head Office.

What you’ll bring

Essential Skills and Experience

  • Experience in Microsoft Office
  • Hospitality or Purchasing experience
  • Good communication and organisational skills

 

Preferred Skills

  • Experience working on Fourth Adaco or similar
  • Strong attention to detail and accuracy in data entry
