PRIMARY OBJECTIVE OF POSITION

 Reporting to the Director of Sales and Marketing, the Sales Executive is responsible to support and assist the DOSM and Sales Managers in their daily functions as well as to ensure the efficient functioning of the sales office.

 TASKS, DUTIES AND RESPONSIBILITIES

Full clerical and administrative duties supporting the DOSM and Sales Managers, these include

Regular/ Daily

·          Assist DOSM in annual contracting, brochure inclusions and any other support when needed

·          Preparation of proposals and sent within 24 hrs and contracts within 48 hrs.

·          Appropriate filing and recording of contracts and client related correspondence

·          Collect and own Sales Managers communications in their absence from the office

·          Qualify general inquiries, respond personally, and direct to appropriate Sales Manager

·          Respond to enquiries from established and prospective customers in the absence of Sales Managers

·          Own urgent external and internal requests and ensure completion

·          Have access to Sales Managers calendar (subject to Sales Managers approval)

·          Handle and own Credit application process

·          Maintain the vacation calendar in coordination with Human resources

·          Handle and file appropriately the employee action forms related to vacations/ sick leave

·          Copy of Daily Arrival list to be printed every morning and handed over to the Sales Managers for review

·          Ensure the distribution of pertinent information to all departments and maintain an orderly working environment

·          Ensure prompt and courteous service is extended to both internal and external customers

·          Maintain the records and files related to the daily functioning of the Sales and Marketing office

·          Assist with the administrative duties and enquiries of the Sales and Marketing office when required

·          To answer all phone calls within 3 rings in absence of Sales Managers

 Periodical/ Monthly

·          Mass email and faxing of contracts as per the period required

·          Client Birthday events and related logistics

·          Maintain current sales and promotional literature and have a complete knowledge of hotel’s services and facilities

·          Supply of stationary and collateral supplies in the Sales and Marketing office

 As and when required

·          Assist with Travel trips and related logistics

·          Direct mailing

·          Database audit and maintenance

·          Telemarketing and setting up appointments for the Sales Manager(s)

·          Assist in the organization and coordination of specific functions and promotions/ client events handled by Sales Manager(s) (i.e. familiarization tours, monthly luncheons, Trade Shows,

·          Completion of RFPs and submission in coordination with the Sales Manager responsible

·          Assist in various office statistics, reports and presentations.
