Job Profile: Legal Administrative Paralegal – Insurance & Corporate Housekeeping

Mission: To centralize all operational and administrative management, ensuring the senior team is fully dedicated to Compliance development, insurance program expansion, and major claims management.

1. Insurance & Risk Management Support:

  • End-to-End Certificate Management: Responsibility for the issuance, verification, and control of insurance certificates for providers, landlords, and third parties, ensuring contractual compliance at all times.
  • Portfolio & Policy Administration: Operational oversight of the company’s insurance program. This includes maintaining updated Policy Summaries (Sumarios), monitoring renewal dates, and ensuring asset valuations are correctly documented.
  • Financial & Billing Control: Full management of the department’s financial flow: tracking premium payments, verifying insurance invoices, and maintaining budget organization.
  • Documentary Governance: Ensuring all insurance archives (policies, endorsements, and legal records) are perfectly organized and "audit-ready" for internal or external reviews.

2. Comprehensive Corporate Housekeeping: The candidate will be responsible for the "health" of our corporate entities' documentation, including:

  • Entity & Governance Records: Full management of the corporate database, including structure charts and director registers, ensuring all group entities are in good standing.
  • Corporate Secretarial Support: Drafting and filing Board/Shareholder resolutions, minutes, and legal certificates, while maintaining the group’s official statutory books.
  • Lifecycle & Legal Filings: Coordinating the formalization of corporate changes (appointments, liquidations, restructurings) and managing the full lifecycle of Powers of Attorney.

 

Candidate Requirements:

  • Background: Previous experience in legal departments, law firms, or corporate secretariats.
  • Profile: A professional looking for a stable, long-term administrative position (with legal notions).
  • Location: Based in Madrid (essential).
  • Languages: Fluent English (mandatory).
