We are looking for an Administrative Trainee to provide essential support to the IT PMO team. This role is ideal for someone eager to learn project management processes while assisting with documentation, reporting, and operational tasks.
Role purpose:
- To provide administrative and operational support to the IT PMO team.
- To maintain and update project documentation and dashboards.
- To prepare data and materials for approvals, and executive presentations.
- To assist in coordinating meetings, agendas, and follow-up actions.
- To support budget tracking.
To learn PMO methodologies and develop professional skills through hands-on experience.· Maintain and update documentation current in SharePoint/Confluence.
· Ensure all projects meet minimum documentation standards
· Draft PowerPoint presentations for operational committees and dashboards.
· Collect weekly project updates and format them for reporting.
· Schedule follow-up meetings, book rooms, and send meeting minutes.
· Gather data for approval requests and verify completeness.
· Prepare draft purchase order requests and monitor status in procurement tools.
· Check compliance with internal methodology and prepare audit checklists.
· Create simple macros or Power BI/Excel automations for reporting.
· Clean and validate data in portfolio tools (Jira, ServiceNow, Clarity, Monday).
· Shadow PMs in meetings and study internal templates and methodologies.

Job Requirements and Qualifications Location: · Madrid Language skills: · English, almost fluent is a must Must have experience · Basic knowledge of Microsoft Office tools, especially Excel (formulas, pivot tables) and PowerPoint (presentation formatting). · Experience in organising files and maintaining structured documentation. · Ability to prepare draft presentations and meeting minutes. · Exposure to data entry and validation tasks in Excel or similar tools. · Understanding of scheduling and coordinating meetings (agendas, follow-ups). Desirable experience: · Familiarity with project management methodologies (PMI, Agile, or hybrid approaches). · Exposure to procurement workflows (purchase orders, vendor coordination). · Experience using collaboration and portfolio tools such as JIRA, ServiceNow. · Ability to create simple automations or dashboards in Power BI or Excel (macros, pivot charts). · Understanding of risk management and quality assurance processes. · Previous internship or academic project in IT PMO or administrative support.
