Key Responsibilities of the
Purchasing
Executive:
- Source and
purchase supplies for hotel operations, including food and beverage,
housekeeping supplies, linens, furniture, amenities, and maintenance materials.
- Establish
and maintain relationships with suppliers, ensuring that the products meet the
hotel’s quality standards and operational needs.
- Negotiate
terms, prices, and contracts with vendors to secure favorable deals for the
hotel.
- Build and
maintain positive working relationships with vendors and suppliers to ensure
product availability, quality, and timely delivery.
- Negotiate
favorable payment terms and handle any disputes with suppliers or service
providers.
- Ensure
that suppliers comply with health, safety, and RHG code of business ethics.
- Work
closely with the service, kitchen, housekeeping, maintenance and other teams to
understand their needs and ensure timely delivery of supplies.
- Assist housekeeping
and other departments by forecasting supply needs based on expected hotel
occupancy levels.
- Implement
and promote sustainable purchasing practices, sourcing eco-friendly products
when possible.
- Stay
updated on industry trends, regulations, and best practices related to
sustainability and green procurement.
- Continuously
research the market to find new suppliers, products, and services that can
improve hotel operations.
- Stay
informed about market trends, prices, and innovations to optimize purchasing
decisions.
- Maintain
detailed records of purchases, contracts, and communications with suppliers.
- Provide
regular reports on purchasing activities, budget performance, and inventory
levels for senior management.
- Analyze
the efficiency of procurement processes and suggest improvements.
- Follow
corporate purchasing guidelines and procurement policy and procedures.
- Coordinate
with regional purchase time to time to send all reports.
- Make sure
in a timely manner review and execute all PR requests and approval and send
them to supplier.
Requirements of the Purchasing Executive:
- Education: Bachelor’s degree in business, Hospitality Management, Supply Chain
Management, or a related field.
- Experience: Minimum two years of experience in hotel purchasing.
- Technical
Skills: Proficiency in inventory management systems,
working knowledge of FX MMS by IDS would be an added advantage.
- Negotiation
Skills: Strong negotiation abilities with suppliers
to secure the best deals and terms.
- Communication
Skills: Excellent verbal and written communication
skills to collaborate with internal teams and external suppliers.
- Oman or
GCC driving license would be an added advantage.
- Strong
problem-solving skills to address any challenges related to procurement,
supplier issues, or inventory discrepancies.
- Ability to
work under pressure, especially during peak seasons or busy periods.
- A
proactive, results-driven mindset with a focus on optimizing procurement
processes.
- Strong
interpersonal skills to maintain positive relationships with both internal
teams and suppliers.
