A DAY IN THE LIFE OF A RESERVATIONS COORDINATOR AT OUR HOTEL
As our Reservations Coordinator, you are the first point of contact for many of our guests and groups — helping to create a seamless and welcoming experience from the very first enquiry.
Your day will involve:
Managing the hotel’s reservations inbox and phone lines, handling individual and group enquiries with professionalism, accuracy, and warmth
Taking ownership of group bookings from enquiry through to arrival — quoting rates, issuing contracts, managing rooming lists, coordinating dinner times, and ensuring all details are confirmed and communicated
Issuing invoices and managing payment schedules for group bookings in coordination with accounts and the revenue manager
Collaborating with the sales, marketing, and revenue team, ensuring promotional offers, group bookings, and VIP requests are seamlessly coordinated for a smooth guest experience
Working closely with the revenue manager and front office team to ensure booking information is up to date and aligned with overall targets
Playing a key role in managing room inventory and availability, always looking for ways to boost occupancy and drive average rate
Handling daily administrative tasks such as inputting reservations into the system, updating guest profiles, and responding promptly to changes or cancellations
Acting as the liaison between groups and internal departments (e.g. F&B, front office) to ensure smooth operations and a great experience for all
Supporting with special requests, VIP bookings, and other ad hoc duties as needed
WHAT WE NEED FROM YOU
Experience in a hotel reservations or front office role is preferred, especially with exposure to group bookings and coordination
Strong communication and interpersonal skills — you’re confident on the phone, detail-oriented over email, and enjoy building rapport with clients
Organisational skills and the ability to manage multiple bookings and deadlines simultaneously
Familiarity with hotel reservation systems (ideally Opera or similar), email platforms, and Microsoft Office tools would be an advantage
A collaborative attitude with the flexibility to adapt to daily operational needs
A guest-focused mindset with a genuine desire to deliver excellent service, even before guests arrive
