A DAY IN THE LIFE OF A MEETING & EVENTS PLANNING EXECUTIVE AT CROWNE PLAZA DOCKLANDS

What you'll be doing...

•     Take over confirmed bookings from the Events Sales team through a structured handover and lead the detailed planning process from confirmation through to event completion.

•     Act as the dedicated point of contact for event organisers once business is confirmed, building rapport and anticipating their needs throughout the planning journey.

•     Translate the outline terms of each contract into complete operational detail – confirming exact menus, room set-ups, timings, AV requirements, dietary needs, and running orders.

•     Review each booking with a critical eye and recommend improvements where the contracted arrangement isn’t the best fit, for example, suggesting a theatre set-up in place of a boardroom where it would serve the client or the operation better.

•     Prepare, manage, and distribute event function sheets (BEOs) with full operational details, so every department knows exactly what is happening, where, and when.

•     Ensure all client requirements and any subsequent changes are clearly and promptly communicated to operational teams and confirmed back to the client.

•     Chase and collate outstanding event details (final numbers, dietary requirements, running orders) within agreed deadlines to protect operational planning time.

To succeed in the role of Meeting and Events Planning Executive, you will need the following qualities and skills. 

  • Previous experience in Meetings & Events, Conference and Banqueting, or a similar hotel environment.
  • Strong organisational skills with the ability to manage multiple events and deadlines at the same time.
  • Excellent attention to detail, with a focus on producing accurate event information and operational documentation.
  • Confident communication skills and the ability to build effective relationships with clients and colleagues across all hotel departments.
  • A proactive and solution-focused approach, with the ability to identify potential issues before they affect event delivery.
  • Good understanding of Food and Beverage operations and how meetings and events are delivered in practice.
  • Calmness under pressure and the ability to adapt quickly when client requirements or operational priorities change.
  • A commercial mindset, with confidence in identifying suitable upselling opportunities that add value to the client experience.
  • A collaborative and hands-on approach, with the flexibility to support event delivery when required.
  • A genuine commitment to providing an exceptional client and guest experience.

Skills Required

  • Ability to prepare accurate function sheets, BEOs, running orders and event documentation.
  • Strong problem-solving and decision-making skills, particularly under time pressure.
  • Ability to anticipate operational challenges and identify practical solutions.
  • Commercial awareness, including upselling, accurate charging and protecting event profitability.
  • Good time-management and prioritisation skills.
  • Ability to remain calm, professional and adaptable in a fast-paced environment.
  • Competence in hotel systems and Microsoft Office, including Outlook, Word and Excel.
  • Ability to interpret contracts, event details, room layouts and client requirements accurately.
  • Strong customer service skills and a commitment to delivering a high-quality guest experience.
  • Ability to work independently while contributing effectively as part of a wider team.
  • Flexibility to work evenings, weekends and bank holidays in line with event demand.
