The Cluster Reservations & Events Team is responsible for managing room reservations, group bookings, and event coordination across Hilton and Aloft Aberdeen TECA. This role ensures revenue optimization, seamless guest experiences, and efficient communication between sales, operations, and clients. The position supports revenue growth through proactive selling, accurate booking management, and exceptional service delivery.


KEY RESPONSIBILITES:

 Reservations Management

  • Handle individual, group, and corporate reservations across cluster properties.
  • Process bookings via phone, email, online platforms, and internal systems.
  • Ensure accurate input of reservations into the PMS system.
  • Monitor room inventory and rates in coordination with Revenue Management.
  • Upsell rooms and packages to maximize revenue.
  • Maintain high standards of customer service and response times.
  • Follow Checklists at both Hilton & Aloft Aberdeen.
  •  Events and Group Coordination
  • Manage inquiries for meetings, conferences, and social events.
  • Prepare proposals, contracts, and event orders in line with hotel standards.
  • Coordinate with Sales, F&B, Banqueting, and Operations teams to ensure smooth execution.
  • Conduct sites inspections when required.
  • Follow up with clients pre- and post-event to ensure satisfaction and repeat business.

Revenue & Administration

  • Assist in forecasting and tracking group room blocks.
  • Monitor cut-off dates, payment schedules, and contract terms.
  • Ensure deposits and payments are collected in accordance with company policy.
  • Generate reports on pick-up, conversion rates, and event performance.
  • Attend weekly operations meetings.
  • Good brand knowledge across both properties.

 Customer Service and Communication

  • Act as a key point of contact for guests and event clients.
  • Resolve booking discrepancies and handle complaints professionally.
  • Maintain strong relationships with corporate accounts and repeat clients.
