Description

Temple Bar Hotel Dublin is seeking a dedicated and enthusiastic Reservations Assistant to join our team at our unique four-star property, located in the heart of the city. 


As the Reservations Assistant you will be accountable for all individual reservations and ad hoc group bookings for the property, ensuring at all times that all sales opportunities are yielded and maximized. To provide the highest level of customer care and attention to detail to ensure no business opportunities are lost for the property.

You will manage all guest issues and ensure response to all queries and recommend ways to increase revenue. To be fully aware of all Hotel facilities and services available and to use all opportunities available to promote these.

To respond to all reservations enquiries in a timely and efficient manner in line with the Hotel’s policies and rate structure, according to the standards in place.


Key Duties & Responsibilities 

  • In liaison with the Revenue Manager & Reservations Supervisor to maximize bedroom occupancy and revenue
  • Understand the competitive market place and implement approaches to ensure the property stays ahead of trends in the local mark
  • To liaise with the Revenue Manager to Compile weekly / monthly forecasts
  • Make reservations and enter information into the PMS as necessary
  • Compile weekly Group and VIP list for distribution to all departments
  • Support with group blocks, including organizing reservations and rates, responding to special requests for rooms and rates, and managing cut off dates, deposits and contracts
  • Verifying commissions by ensuring all stays are invoiced correctly
  • Follow through on no-show and late cancellation charges and ensure that all third party channels and CRS are updated accordingly
  • Work closely with Front Office and other departments to ensure guests requests or package items are fulfilled by the appropriate department
  • To attend daily operations meetings, revenue strategy & business review meetings and monthly HOD meetings as required
  • Resolve guest complaints and implement changes to prevent future issues
  • Monitor quality assurance program scores and guest feedback.  Take corrective action when necessary
  • Ensure all property policies and procedures are fully implemented in department, including health and safety guidelines and GDPR
  • To be aware of all reservation procedures and assist with reception duties when and if required
  • Maintaining quality service by establishing and enforcing organization standard
  • Creating an environment which promotes employee morale and encourages the team to have pride and commitment in their area of work
  • To comply with statutory and legal requirements for Health & Safety, Fire, Hygiene, Licensing and Employment, ensuring that members of the team are trained and aware of these responsibilities
  • Maintain a clean and neat appearance and work area at all times, business attire

Requirements:

  • Previous experience as a Reservations Assistant or Senior Receptionist role within a four star property in Ireland

  • Experience using Opera Cloud

  • Strong leadership and communication skills

  • A passion for delivering memorable guest experiences

  • Excellent organizational and time management abilities
