Riverstone offers a community for over 65’s that assists with maintaining an active, independent and rewarding lifestyle whilst offering the reassurance of service, security and well-being support.

We are looking for an Operations & Wellbeing Coordinator to become a trusted operational partner to our Operations Director and Wellbeing & Quality Director. This is a varied and influential coordination role at the heart of our operations.

You will create capacity for both Directors through proactive planning, coordination, reporting, governance and process improvement. As the operational backbone of these functions, you will make priorities visible, keep actions and compliance activity on track, and identify better, more efficient ways of working.

This is an exciting opportunity for an organised, analytical and improvement-focused coordinator who enjoys working across teams, building trusted relationships and turning complex activity into clear plans, high-quality reporting and consistent delivery.

Key Responsibilities of the Operations & Wellbeing Coordinator role:

  • Provide proactive executive support to the Operations Director and Wellbeing & Quality Director, anticipating requirements and helping to manage competing priorities.
  • Coordinate diaries, meetings, presentations, papers, correspondence and follow-up actions, ensuring meetings run efficiently and agreed actions are completed on time.
  • Own governance calendars for Health & Safety, Quality and operational forums, coordinating agendas, minutes, papers and action logs.
  • Maintain audit-ready compliance records and monitor statutory deadlines, licences, policy review schedules and facilities compliance actions, escalating overdue risks appropriately.
  • Coordinate annual operational planning, quarterly business reviews, project plans, departmental priorities and milestone trackers.
  • Maintain central trackers for planned maintenance, compliance actions and operational improvement initiatives across Operations, Facilities and Community Teams.
  • Coordinate the annual wellbeing programme, workshops and networking events, including relationships with external health professionals, communications, logistics, budgets, purchase orders and invoices.
  • Develop dashboards and operational reporting, analyse trends, track KPIs, resident satisfaction and operational performance, and highlight emerging opportunities or risks.
  • Report on facilities KPIs, including compliance, reactive maintenance, contractor performance and action completion.
  • Review and improve processes, standardise SOPs, templates and governance documentation, and promote effective digital working and Microsoft 365 automation.
  • Handle confidential information with professionalism and discretion, while building strong relationships with colleagues, residents, suppliers, contractors, regulators and other stakeholders.

  • Have experience supporting senior leaders in an executive, operations or business coordination role.
  • Are highly organised, proactive and confident managing multiple priorities, projects and deadlines.
  • Have experience coordinating governance meetings, maintaining action trackers and producing high-quality documentation.
  • Enjoy working with data and can create meaningful dashboards and reports that support informed decision-making.
  • Communicate clearly and professionally, with excellent written and verbal communication skills.
  • Are an advanced user of Microsoft 365, including Excel, Word, Outlook, Teams and PowerPoint.
  • Can influence stakeholders and build trusted working relationships across different functions and levels.
  • Have a continuous improvement mindset and the confidence to challenge inefficient processes constructively and implement better ways of working.
  • Understand how AI tools can be used practically to improve efficiency.
  • Can work with a high degree of autonomy, making sound day-to-day decisions within agreed parameters and escalating strategic matters where appropriate. 

A rewarding role 

  • £43,000 a year starting salary, plus performance-related bonus 
  • Working hours are typically8 hours per day, 40hours per week, Monday to Friday.
  • Annual Leave entitlement of 25 days plus Bank Holidays, increasing with your length of service.
