Description

Salz Group, a QSR Franchisee, is seeking a reliable, highly organized Administrative Assistant to support daily office operations and provide administrative assistance to the Chief Administrative Officer.

This is an in-person role responsible for keeping the office running smoothly while assisting with administrative coordination, document organization, and internal support tasks. Responsibilities include managing incoming and outgoing mail, handling bank and post office errands, maintaining office and kitchen supplies, and assisting with general office coordination.

The ideal candidate is detail-oriented, dependable, highly organized, and comfortable working with numbers and Excel. This role requires someone who enjoys keeping systems organized, ensuring tasks are completed accurately, and supporting leadership with day-to-day administrative needs.


Top 5 Responsibilities

  • Manage daily office operations including mail, supplies, and office organization
  • Handle errands such as bank visits, post office runs, and office-related pickups
  • Provide administrative support to the Chief Administrative Officer
  • Maintain organized spreadsheets and assist with data tracking using Excel
  • Support HR with office coordination and internal events

Key Responsibilities

Office Operations

  • Manage incoming mail and packages and ensure proper distribution
  • Handle outgoing mail and post office visits when required
  • Assist with bank visits or other local errands as needed
  • Maintain office supplies, kitchen supplies, and general office inventory
  • Ensure the office remains organized and operational on a daily basis

Executive & Administrative Support

  • Provide administrative support to the Chief Administrative Officer
  • Assist with scheduling meetings and coordinating internal communications
  • Prepare and organize documents, reports, and administrative files
  • Maintain organized digital and physical filing systems

Data & Excel Support

  • Maintain and update spreadsheets used for internal tracking and reporting
  • Assist with organizing financial or operational data in Excel
  • Perform calculations and verify accuracy of numbers when preparing reports
  • Support leadership with data organization and document preparation
  • May be required to review and submit financial reports (expense, receipts, invoices, etc.)

Office Coordination

  • Assist HR with organizing office events, celebrations, and internal gatherings
  • Help coordinate meetings and office arrangements
  • Support internal teams with administrative needs when required
Education & Experience

The right candidate should possess a minimum of 3+ years of Administrative Assistant experience. This role is dependent on strong organization and time-management skills, so candidates should be prepared to highlight their ability to follow thru, manage multiple tasks, and their attention to detail. This person will report directly to the Chief Administrative Officer, but should anticipate partnering with various departments and communicating needs/priorities for a variety of workloads. As this role will be involved in multiple functions, the ability to maintain professionalism and discretion should be anticipated. While most work is performed in office, all candidates should anticipate occasional local travel both on Long Island, and into NYC. A current valid drivers license, and vehicle is required for this role, as occasional tasks will be required out of office (post office, local businesses, bank, etc.)
