Description

Salz Group is looking for a highly organized, resourceful and proactive Executive Operations Coordinator to work directly with our Chief Administrative Officer.

This is not a traditional Executive Assistant role centered around managing calendars and inboxes. Instead, you'll help turn priorities into action by coordinating projects, tracking deadlines, gathering information, following up with the right people and making sure important items continue moving forward.

You'll work across different areas of our growing, multi-location restaurant organization, giving you exposure to Operations, Development, Finance, insurance, property matters and other business initiatives.

We're looking for someone who takes ownership, pays attention to the details and genuinely enjoys getting things done.

What You'll Do

  • Work directly with the CAO on administrative, operational and special projects.
  • Coordinate assignments and projects from initial request through completion.
  • Maintain clear trackers for open items, deadlines, renewals and follow-ups.
  • Coordinate with internal departments and outside business partners to gather information and keep projects moving.
  • Assist with insurance administration, including applications, COIs, documentation and routine follow-ups.
  • Coordinate administrative requirements related to restaurant openings, properties, licenses, permits and renewals.
  • Gather and organize information requested by accountants, insurance brokers, landlords, consultants and other business partners.
  • Research questions and prepare clear, concise summaries for CAO review.
  • Organize documents and maintain accurate administrative records.
  • Identify missing information, outstanding items and next steps.
  • Follow up proactively and consistently until assignments are completed.
  • Assist with new initiatives and special projects as the company continues to grow.
Education & Experience

The right candidate should possess a minimum of 2-4 years of experience in an Administrative, Project Management or Business Administrative role. This role is dependent on strong organization and time-management skills, so candidates should be prepared to highlight their ability to follow thru, manage multiple tasks, and their attention to detail. This person will report directly to the Chief Administrative Officer, but should anticipate partnering with various departments and communicating needs/priorities for a variety of workloads. As this role will be involved in multiple functions, the ability to maintain professionalism and discretion should be anticipated. While most work is performed in office, all candidates should anticipate occasional local travel both on Long Island, and into NYC. A current valid drivers license, and vehicle is required for this role, as occasional tasks will be required out of office (post office, local businesses, bank, etc.)
