SUMMARY

SPIN is a dynamic brand that combines elevated food, craft cocktails, and interactive social experiences centered around the game of ping pong. Each SPIN venue is designed to create moments of connection and play — blending hospitality, entertainment, and community.

The Event Coordinator is a critical support role within SPIN’s Sales & Events team. You are responsible for the coordination, communication, and administrative execution that keeps our events business running at the highest level. You will have the opportunity to learn to manage focused event sales — converting inquiries for kids’ parties and social events — owning the client relationship from first inquiry through event day.

ESSENTIAL FUNCTIONS

•      Prepare event maps (daily and buyout) and ensure all event information is accurately communicated to the operations and kitchen teams.

•      Communicate and verify all bar operations setup details and confirm accuracy across relevant event documents.

•      Handle all wristband logistics, including labeling and packing for each event.

•      Print and distribute kitchen sheets; refresh kitchen sheets as needed.

•      Prepare BEO (Banquet Event Order) for BEO meeting — finalized by 12:00 PM on BEO Meeting day with all special notes and contract requirements clearly reflected.

•      Maintain accurate, up-to-date food labels for all events.

•      Book Pros for events and ensure Sales Managers are included on all emails and relevant communications.

•      Confirm receipt of pop-up event email communications and keep the team informed on all active events.

•      Verify Tripleseat for accuracy. Assure all contracts and BEOs have serve times, set-up and break-down times, and menu details.

•      Verify SevenRooms information is entered and all necessary blocks are put into the system.

•      Serve as the primary point of contact for all incoming phone inquiries — answering promptly, professionally, and on-brand, and routing calls appropriately.

•      Respond to and convert inquiries for kids’ parties and social events up to 50 guests, guiding clients through SPIN’s event offerings with confidence, or duties as assigned per location.

•      Support monthly team sales goals and contribute to the overall success of the Sales & Events department.

•      Complete projects and assignments as directed by your RESM and/or General Manager.

•      Duties as assigned

QUALIFICATIONS

·      1–2 years’ experience in hospitality, events, or a sales support environment is helpful but not required.

·      Exceptional organizational skills and meticulous attention to detail.

·      Excellent verbal and written communication skills.

·      A proactive, solutions-oriented mindset — you anticipate needs and resolve problems or issues before they escalate.

·      Comfortable working in fast-paced, high-energy environments.

·      Proficiency in Microsoft Office and Outlook.

·      Experience with Tripleseat, SevenRooms, or similar booking/reservation platforms is a strong plus but not required.

·      Associate or Bachelor’s degree in Hospitality, Marketing, Communications, or a related field or equivalent experience is helpful but not required.

Supervisory responsibilities - No

Physical demands – Lift, push, pull, sitting for long periods of time.

Travel required - Below 10%
