Description

The Role:

The Onsite Corporate Administrator will support SUSHISAMBA Los Angeles in the smooth running of the operation, including Administration, Financial and Human Resources tasks. This position is designed to support the administrative functions of Operations in the areas of Purchasing, Finance, IT, Licenses and Permits, etc. to allow our Management and Culinary teams to remain focused on providing exceptional hospitality.

Key Responsibilities:

Operational & Administrative Restaurant Duties

Opening Restaurant /Operational walk through to:

  • Review cleanliness of restaurant, outdoor/ entrance areas, office, bathrooms, locker rooms, bike room, etc and report any issues to cleaning company and GM
  • Review par levels of all non F&B items i.e menus, blankets, radios, headsets, business cards, sanitizer, soap, etc
  • Retrieve mail and packages for distribution
  • Place orders for any office supplies, IT supplies, and/or non-food or beverage restaurant supplies
  • Coordination and reconciliation of Petty Cash receipts
  • Ensure the timecards and schedules from previous night have been successfully reviewed and closed.  Notify GM, Executive Chef, HR and VP of Operations of any non-compliance/ discrepancies
  • Communicates areas in need of attention to staff and follows up to ensure follow through and attention to detail.
  • Participates in department meetings and continually communicates a clear and consistent message regarding the departmental goals to produce desired results

Administrator Duties

  • Tracking and management of renewals for restaurant licenses and permits.
  • Enters Approval Max requests for non-F&B related items under the guidelines of the company DOA limits
  • Opens IT tickets with Cloud Matters or contacts local IT support company as needed
  • Reaches out to technical support for issues that arise with software and hardware

HR Duties

  • Assistance with various HR administration tasks when required, in the absence of HRM (due to vacation etc) with duties to include, gathering insurance enrolment forms, posting employee notices, completing requests for PTO, supporting engagement initiatives etc.
  • Coordination of company sponsored events
  • Assistance and support with travel and accommodations requests as needed

Finance Duties

  • Manages all chargebacks or receipt requests
  • Ensuring completeness and accuracy of invoices /purchase orders in the purchasing system in Approval Max 
  • Auditing as need of any Food and Beverage inventory reports
  • Fixed Asset tagging as needed
  • Reporting of petty cash transactions 
  • Ensuring completeness of receipts for credit card and petty cash purposes.
  • Assisting with vendor onboarding/supplier bids. (credit application, T&Cs, Vendor Compliance & Declaration Form, W9s)
  • Scan Finance relevant mail and send to Finance
What We’re Looking For:

  • Previous experience working as an OCA (or similar) within a hospitality environment (ideally)
  • Excellent communication skills in the English language both written and verbal
  • The ability to maintain and follow processes and standards
  • Drive and ambition with the desire to learn and grow within the team
  • Full ownership of your role
  • Ability to work Monday to Friday
  • Valid documentation of your right to work in the U.S.
