Role Summary 

As our Maintenance Manager, you will act as the initial point of contact for the Facilities department, and liaise between the F&B Director, Club House Manager and the Heads of Departments. Your mission will be to deliver a safe and efficient operation whilst maintaining the highest possible standards and being pro-active in management of the buildingAdditionally, you will focus on controlling costs as well as implementing and maintaining the best and most forward-thinking practices in sustainability. We expect our Maintenance Manager to work towards sustainable, energy saving initiatives, and to assist in driving new sustainability projects. As a senior leader, you will be the voice for health and safety throughout the operation. 

 

Key Responsibilities  

Objectives 

  • Day to day management (including repairs and maintenance) of facilities of the club and office. 

  • Maintain all health & safety controls, fire safety, risk assessments & staff training. 

  • Responsible for all the buildings services including management of service contracts such as, equipment repairs, pest control, plumbing, air conditioning, CCTV, comms room, audio visual, landscaping, and electrics. 

  • Ensure the building meets government regulations and environmental, health and security standards. 

  • Main point of contact for the Landlords management agents. 

  • Ensure all building licenses are kept up to date.  

  • Oversee the effective implementation of the maintenance and capex budgets. 

  • Achieve 85% or over pass rate on Food Alert H&S Audits 

  • To communicate in a timely and effective manner with all impacted parties on any proactive or reactive work that is required to be carried out that will impact business and trading. 

 

Technical Control 

  • Daily/weekly prioritising of maintenance tasks  

  • Responsibility for overseeing CCTV system and supporting with training for the Duty Managers, Club House Manager and F&B Director 

  • Lead and oversee regular schedule of Planned Preventative Maintenance and update and communicate to the Club House Manager and F&B Director weekly. 

  • Ensure that maintenance procedures and controls that are in place are adhered to. 

  • Undertake weekly inspections of the club, reporting back to the Club House Manager and F&B Director identifying problem areas and creating an action plan for their improvement. 

  • Ensure all Breakdown/Emergency requests are dealt with efficiently and effectively. 

  • To continually assess/train that the liquor license conditions are adhered to by all operational teams working closely with the Club House Manager and F&B Director. 

  • Act as liaison between outside contractors/technical services suppliers. 

  • Ensure that all firefighting and associated alarm systems are in safe working order and maintained in line with local authority requirements. 

  • Ensure all purchasing procedures meet company standards using X-Ledger 

  • Ensure all electrical equipment is in safe working order in line with the regulations.  

  • Keep up to date records for statutory testing of electrical systems and portable appliance testing (PAT) and organise all regular PAT testing. 

  • Review all relevant Food Alert Reports and carry out actions as required relating to the physical structure and equipment elements of the report.  

  • Recording/ organising training, evac chair, fire warden & first aid and any other safety related training required. 

  • Manage detailed inventory of equipment, ensure in good working condition, and anticipate re-purchasing needs. 

  • Small goods management, stock needs are anticipated and actioned e.g. lightbulbs, batteries, printing, ink, and paper etc. 

  • Responsible for fob programming for Staff entrance and liaising with Estate Management for Neal Street Office access fobs. 

  • Looking into current sustainability trends and development possibilities in all ways in which it affects the business positively. 

Communication 

  • Regular meetings with the Club House Manager and Food & Beverage Director to update and agree maintenance action plan and, discuss progress achieved, future activity, Capex, and time scales. 

  • Ensure that requests, queries, and/or complaints from the Heads of Department/Managers are investigated and administered within 24hrs. 

  • Constant awareness and communication of the status of all ongoing Maintenance tasks. 

  • Ensure any service level agreements are always met. 

 

People Management 

  • Effective supervision of inhouse team and/or external contractors to ensure that all work is carried out within deadlines and is to the high standard the business requires. 

  • Daily / weekly organisation of departmental workload. 

  • To utilise the agency security in line with budget and Westminster Council conditions 

  • To maintain a high level of collaboration with department heads and other Conduit Colleagues to encourage correct usage of all equipment and services, such as Lifts, doors, toilets and other matters 

  • To work with all Conduit colleagues to encourage prompt and detailed reporting of and new or outstanding maintenance issues. 

  • Develop good working practices within the team encouraging the development of new skills and technical knowledge of your colleagues. 

  • Work with the senior leadership team on project managing all minor/major refurbishment work including budgets, attending project meetings, liaising with third party contractors.  

  • Where relevant, ensuring planning requirements are adhered to and liaising with Westminster council, as necessary.  

 

Qualifications & Requirements  

  • Minimum 5 years’ experience in building service maintenance. 

  • Previous experience in workspace or Members environment or similar. 

  • Good knowledge of electrical, mechanical systems and plumbing and carpentry. 

  • City & Guilds or NVQ level 3 (or equivalent) in relevant engineering subject. 

  • Ideally IOSH managing Safely or NEBOSH qualified. 

  • Excellent written and oral communication well on both technical and non-technical subjects. 

  • Knowledge of Food Alert and Alert 65 

  • Strong interpersonal skills and strong ability to work within a team. 

  • Experience of supervising and managing small team and external contractors 

  • Active interest in sustainability practices – either professionally or personally
