About the Role

The Mole Resort is looking for a highly organised and proactive Meetings & Events Coordinator to join our expanding commercial team. This role is focused on supporting the growth of our Meetings, Events, and Weddings business through reactive sales and administrative duties. This is an exciting opportunity to be part of a dynamic and evolving team as we continue to expand and develop our offerings.

Key Responsibilities

• Respond to Inquiries: Handle incoming meetings, events, and wedding inquiries, providing prompt and professional responses to potential clients.
• Proposal & Quotation Creation: Prepare tailored proposals and quotations, ensuring all event requirements are captured and aligning with client expectations.
• Diary & Calendar Management: Manage availability and bookings for all event spaces, including meetings, corporate events, and wedding venues, ensuring accurate scheduling and maximising occupancy.
• Client Communication: Serve as the main point of contact for clients, providing updates, confirmations, and logistical support throughout the planning process.
• Event Coordination: Liaise with internal teams (catering, operations, housekeeping, etc.) to ensure the seamless execution of all events, maintaining high service standards.
• Contract Management: Draft and issue contracts, process booking confirmations, and oversee the administrative process for all events and weddings.
• Financial Administration: Support the finance team by issuing invoices, tracking payments, and ensuring all billing information is accurate and up-to-date.
• Reporting & Analysis: Prepare weekly and monthly sales reports for the Sales and Marketing Director, tracking enquiry-to-booking conversion rates and revenue performance.
• Customer Experience: Ensure exceptional customer service and satisfaction by providing professional, efficient, and friendly support to clients throughout their experience with us.

The ideal candidate will have previous experience in a similar role, preferably within the hospitality or events sector. Strong communication skills, attention to detail, and the ability to multitask are essential. Experience with weddings and event management software is highly desirable.
