About the Opportunity

The procurement manager is responsible for overseeing the purchase of FF&A and OS&E for all restaurant projects.  Will ensure all projects obtain the best quality, price, and lead time based on project schedule and budget.  Can initiate, manage, and coordinate new & existing projects from conceptual budget through delivery and installation.  Ability to plan, coordinate, and implement the purchase of FF&A and OS&E in accordance with specifications, industry standards, and legal and ethical standards.  Ensure all projects are on budget and schedule.

Key Responsibilities
  • Collaborate with design team to understand restaurant aesthetics to bring vision to life. 
  • Work with design team to prepare budget estimates and purchasing list for FF&A and OS&E
  • Research, identify, and select reliable suppliers for FF&A & OS&E for restaurant projects.
  • In depth understanding for project floor plans and specifications to ensure design elements fit within constraints and functional requirements (kitchen equipment, banquettes, bar setups, etc.)  
  •  Source and maintain strong relations with vendors and suppliers to negotiate pricing, terms, delivery schedules, and payment terms. 
  • Work within design and operational budgets to ensure purchasing activities align with financial goals. 
  •  Ensure all items needed are ordered and delivered on time to meet construction and opening schedules.
  • Provide, update, & track product pricing and lead times throughout duration of the project.
  • Establish, manage, and vet long term manufacturers and sources for quality, reliability, and effectiveness.   
  • Negotiate contracts, terms, & pricing with manufacturers and suppliers.
  • Prepare requests for quotes (RFQ’s) for project design specifications using fully vetted sources.
  • Manage, implement, and maintain cost savings & reporting strategies through expediting, accounting, and tracking software for publication to owner.
  • Issue all Purchase Order contracts in timely buyout manner to maintain schedule.
  • Process PO Change Orders (revisions) as required for project. Making sure to justify all change orders against approved project budget.
  •  Issue and track design shop drawings, cuttings for approval, seaming diagrams, finish samples, etc. within the procurement schedule ensuring design approvals are complete.   
  • Issue timely funding requests in accordance with owner requests to ensure proper funding is maintained.
  •  Reviews all project invoices for processing, approves them for payment, and formats approved invoice transmittal packages to submit to Accounting.
  • Oversee completion of project milestones to ensure on-time ordering, coordination and delivery.
  • Work with manufacturers, vendors, or team on any issues that could arise that could affect the project schedule or budget. 
  •  Assess and mitigate procurement risks, supply chain disruptions, currency fluctuations, or vendor insolvency. 
  • Coordinate freight RFQ and contracts for services as directed.
  •  Manage installation of FF&E and OS&E onsite to resolve any damage or punch issues to repair or replacement on behalf of owner.
  • Attend regular project OAC meetings, site walks/meeting, design review meetings, or any other meetings as required by owner.
  • Proactively address delays or issues in supply chain or delivery and communicate effectively with team. 
  •  Secure appropriate warranties for furniture and equipment and ensure all contract with vendors are clear regarding timeline, payment, and service agreements.  
Qualifications
  • Degree in management, business, operations, hospitality or a related field.    
  •  5+ years related hospitality (FF&E or OS&E/F&B specific) purchasing or supply chain experience.  
  • Strong negotiation, sourcing, communication, and vendor management skills.       
  • Financial acumen for budget management & cost optimization.       
  • In-depth understanding of supply chain management.        
  • Proficient in Microsoft Excel and Word.       
  • Knowledge in Spexx and Exxpedite/Design Spec Systems
