Overview:
The Event and Wedding Coordinator is responsible for planning, organizing, and executing events, with a focus on weddings and special occasions. This role involves working closely with clients to understand their vision, managing all event logistics, coordinating with vendors, and ensuring the seamless execution of events. The ideal candidate has strong organizational skills, excellent communication, and a passion for creating memorable experiences.
Key Responsibilities:
- Meet with clients to understand their event vision, goals, and budget, providing creative ideas and expert guidance.
- Develop detailed event timelines and schedules, coordinating all logistics from venue selection and setup to entertainment and catering.
- Manage vendor relationships, negotiate contracts, and oversee vendor services, including catering, décor, entertainment, photography, and transportation.
- Assist clients with venue and vendor selection, offering recommendations based on their preferences and budget.
- Coordinate event rehearsals, manage setup and breakdown, and be present on-site to ensure everything runs smoothly on the event day.
- Handle unexpected issues and emergencies calmly and efficiently, finding creative solutions to keep the event on track.
- Oversee the preparation of event spaces, ensuring décor and arrangements align with the client’s vision and meet quality standards.
- Manage event budgets, track expenses, and provide regular updates to clients, ensuring financial goals are met.
- Maintain a high level of customer service, addressing client concerns promptly and ensuring a positive event experience.
- Conduct post-event evaluations to gather feedback, review successes and areas for improvement, and ensure all final details are completed.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, or a related field is preferred.
- Proven experience as an Event or Wedding Coordinator, with a portfolio of successful events.
- Strong organizational and time management skills, with the ability to handle multiple events simultaneously.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and vendors.
- Creative thinking and problem-solving skills, with a keen eye for detail.
- Proficiency in event management software and Microsoft Office Suite.
- Ability to work flexible hours, including evenings, weekends, and holidays, as needed.
- Ability to remain calm under pressure and handle high-stress situations effectively.
Working Conditions:
- The role often requires working long hours, especially on event days.
- Must be able to stand and walk for extended periods, as well as lift and carry event materials.
