Overview:
The Personal Assistant to the General Manager provides high-level administrative support, ensuring the GM's office operates smoothly and efficiently. This role includes managing schedules, coordinating meetings, handling communications, and supporting the GM in achieving organizational goals. The ideal candidate is proactive, highly organized, and capable of handling confidential information with discretion.
Key Responsibilities:
- Manage the GM's calendar, schedule appointments, and prioritize tasks to ensure efficient time management.
- Handle incoming and outgoing communications, including emails, phone calls, and correspondence, ensuring timely and accurate responses.
- Prepare agendas, reports, presentations, and other documents for meetings and events.
- Coordinate meetings, conferences, and travel arrangements, including booking flights, accommodation, and transportation.
- Act as a liaison between the GM and internal or external stakeholders, maintaining professional relationships and ensuring smooth communication.
- Assist in tracking and managing key projects, ensuring deadlines are met and providing updates as required.
- Maintain an organized filing system for documents, records, and correspondence.
- Handle confidential information and sensitive issues with discretion and professionalism.
- Anticipate the GM's needs and provide proactive administrative support.
- Perform additional duties as assigned to assist the GM in achieving business objectives.
Qualifications:
- Bachelor’s degree in Business Administration or a related field is preferred.
- Proven experience as a Personal Assistant or Executive Assistant, ideally supporting senior management.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools.
- High level of discretion and professionalism in handling confidential information.
- Strong interpersonal skills and the ability to work effectively with a diverse range of stakeholders.
- Proactive mindset with the ability to work independently and anticipate needs.
- Flexibility to adapt to changing priorities and work schedules.
Working Conditions:
- Office-based role with occasional travel for meetings and events.
